The Senior Administrative Coordinator performs high level administrative support and duties across assigned department. This position is responsible for planning, coordinating and organizing administrative business activities and answer questions and directs inquiries to other members within assigned department. Job Profile Summary The Senior Administrative Coordinator performs high level administrative support and duties across assigned department. This position is responsible for planning, coordinating and organizing administrative business activities and answer questions and directs inquiries to other members within assigned department. Essential Functions The Senior Administrative Coordinator provides administrative and project support to the assigned manager (typically Director or above) and the respective members / teams that report into this position. This role requires a high degree of administrative and project management ability. Prioritizes own workload and receives limited guidance. He/she manages calendars, prioritizes appointments, schedules meetings, coordinates meeting logistics, makes travel arrangements, takes meeting minutes at designated meetings, creates/submits expense reports, invoices creating of purchase orders, supports sponsorships and exhibits processes, and manages contracts and master service agreements.

Requirements

  • 5+ years of experience with demonstrated mastery of administrative skills
  • Proficiency in MS Office Suite (PowerPoint, Word, Excel) Outlook
  • Must be self-starter with the ability to multi-task, work with a high level of initiative
  • Flexibility to accommodate to rapidly changing priorities and deadlines
  • High level of accuracy and attention to detail
  • Very strong customer service skills
  • Must be able to exercise independent judgment, be resourceful and maintain a high degree of confidentiality
