About The Position

QuantumScape is seeking an experienced and highly organized Senior Administrative Assistant to provide day-to-day executive administrative support to the Chief Financial Officer (CFO) and Chief Sales Officer (CSO). This role supports calendar management, meeting coordination, travel planning, expense processing, document preparation, event logistics, and follow-up tracking for the CFO, CSO, and their respective leadership teams, including Finance, IT, Government Affairs, and Sales. This position requires strong attention to detail, discretion, professionalism, and the ability to manage multiple administrative priorities in a fast-paced environment. The successful candidate will help ensure that meetings, schedules, communications, logistics, and follow-through are well coordinated and completed accurately and on time. The right candidate is highly organized, discreet, composed, and able to anticipate what is needed before being asked. This is an hourly, non-exempt role. The employee is expected to accurately record all hours worked and obtain appropriate approval for overtime, consistent with company policy.

Requirements

  • 8+ years of relevant administrative or executive assistant experience, preferably supporting senior leaders in a fast-paced technology or public company environment.
  • Strong calendar management, scheduling, and prioritization skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks, deadlines, and changing priorities with accuracy and professionalism.
  • Strong calendar management skills, including the ability to prioritize effectively, resolve conflicts, and optimize executive time.
  • High emotional intelligence, excellent judgment, and strong interpersonal skills.
  • Strong written and verbal communication skills
  • Sound judgment, discretion, and ability to handle confidential information appropriately.
  • Experience coordinating meetings, travel, expenses, events, and administrative processes.
  • Demonstrated ability to learn quickly, adapt to executive preferences, and continuously improve effectiveness.
  • Proficiency with Microsoft Office, Outlook/calendar systems, collaboration tools, and related business applications.
  • Ability to work effectively on-site four or more days per week.
  • Ability to follow established processes, ask clarifying questions when needed, and complete assigned work in a timely and accurate manner.

Responsibilities

  • Provide executive administrative support to the CFO and CSO, including calendar management, including prioritization & gate keeping, scheduling, meeting coordination, and related logistics.
  • Coordinate complex calendars by scheduling meetings, resolving conflicts, and helping ensure leaders are prepared for key discussions.
  • Arrange domestic and international travel, prepare itineraries, process expense reports, and coordinate related logistics.
  • Prepare agendas, meeting materials, presentations, and documents as requested.
  • Track meeting follow-ups, action items, and deadlines, and provide reminders to support timely completion.
  • Support recurring leadership meetings, staff meetings, team forums, and other key operating cadences.
  • Coordinate team events, engagement activities, training sessions, recognition activities, offsites, and customer- or investor-related logistics.
  • Serve as a professional point of contact with employees, leaders, internal partners, and external stakeholders.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Support administrative projects and operational tasks as assigned.
  • Continuously learn executive preferences, maintain organized records, files, communications, and tracking tools to support the CFO, CSO, and their organizations.
  • Work collaboratively with other administrative professionals and cross-functional partners to ensure effective coordination and follow-through.
