SDS comprises of Cardiopulmonary, Oncology, Immunology, Neuroscience, Medical Affairs, Post Approval Lifecycle Management, Discovery & Manufacturing Statistics, Statistical Modeling & Methodology & Consulting and Strategic Business & Computing Operations. The SBCO organization applies deep understanding of drug development, statistics, scientific computing, business operations, and enabling technologies to deliver scalable, compliant, and high‑value solutions for SDS. SBCO comprises three integrated units: Strategy & Business Operations (SBO), Scientific Computing Operations (SCO), and the SDS Centralized Administrative Network (SCAN). The Sr. Administrative Assistant provides routine administrative support within the SDS Centralized Admin Network (SCAN) service model, contributing to pooled support and executing tasks aligned with defined service levels and processes. The role delivers accurate, timely, and high-quality administrative support with professionalism, discretion, and effective communication while following established processes and service expectations.

Requirements

  • High School/Secondary degree or equivalent required.
  • A minimum of 4 years’ experience in administrative or office support is required.
  • Basic knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to manage routine tasks independently and prioritize work effectively.
  • Up to 5% travel across U.S. sites is required.

Responsibilities

  • Manages meeting scheduling, calendars, and related coordination for assigned teams.
  • Coordinates meeting logistics, including agendas, materials, technology setup, and onsite, offsite, virtual, or hybrid event support following SCAN service standards.
  • Travels to other local sites, such as Raritan or Spring House, approximately 2–3 times per year to support town halls and other meetings as needed.
  • Prepares, formats, files, and manages documents and records.
  • Coordinates complex and short-notice travel arrangements in accordance with company processes.
  • Provides space management support, including coordination of workspace requests and related administrative activities.
  • Supports contract and purchase order processes, including HCC, contracting, and PO coordination in partnership with relevant stakeholders.
  • Supports onboarding, offboarding, interview scheduling, and related coordination activities.
  • Maintains distribution lists, SharePoint sites, and administrative systems to ensure data accuracy.
  • Supports general office coordination including supplies and visitor logistics.
  • Identifies opportunities to improve administrative processes within defined scope.
  • Builds knowledge of tools and systems to improve service delivery efficiency.
  • Ensures timely and accurate delivery of administrative support services following SCAN service level expectations.
  • Maintains confidentiality and handles sensitive information appropriately.
  • Supports team productivity through reliable execution of assigned tasks.
  • Demonstrates professionalism, attention to detail, and organizational skills.
  • Communicates clearly and collaborates effectively with stakeholders.
  • Manages priorities with guidance and adapts to changing needs.
