About The Position

Johnson & Johnson Innovative Medicine is recruiting a Senior Administrative Assistant to provide comprehensive administrative support to a Vice President and designated members of the leadership team. This role is critical to enabling leadership effectiveness by proactively managing priorities, coordinating complex business activities, and serving as a trusted partner to leaders and key stakeholders. The successful candidate will thrive in a fast-paced environment, demonstrate exceptional judgment and discretion, and possess strong organizational, communication, and relationship-building skills.

Requirements

  • High school diploma or equivalent required.
  • A minimum of 4 years of administrative support experience supporting senior leaders in a complex corporate environment.
  • Proven experience managing executive calendars, travel, meetings, and expenses.
  • Strong organizational skills and exceptional attention to detail.
  • Demonstrated ability to manage multiple priorities with speed and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Proficiency with Microsoft Office applications including Outlook, PowerPoint, Teams, Word, and Excel.

Responsibilities

  • Manage a highly complex calendar with a strong focus on prioritization, efficiency, and alignment to business objectives.
  • Coordinate domestic and international travel arrangements and associated logistics.
  • Prepare and process expense reports in accordance with company policies.
  • Support meeting preparation, including agendas, materials, logistics, and follow-up actions.
  • Track leadership action items and follow through to completion.
  • Serve as a liaison between the Vice President, leadership team members, and key cross-functional stakeholders.
  • Coordinate leadership meetings, off-sites, town halls, and special events.
  • Support organizational communication efforts and ensure timely dissemination of information.
  • Maintain confidential files, records, organizational documents, and business information.
  • Assist with department projects, operational initiatives, and business processes.
  • Develop presentations, reports, and correspondence using information from multiple sources.
  • Coordinate onboarding activities and support organizational transitions as needed.
  • Manage purchase orders, vendor interactions, and selected budget-related activities.
  • Partner closely with administrative colleagues across Oncology and Johnson & Johnson Innovative Medicine.
  • Build strong partnerships with Human Resources, Finance, Communications, Commercial, Medical, and other support functions.
  • Act as a trusted point of contact for internal and external stakeholders.
  • Foster a collaborative, professional, and service-oriented environment.
