This position is based out of the Holyoke, Massachusetts office 5 days a week. Requirements

  • Minimum 5 years’ experience working in an advanced administrative role as well as prior experience working in a professional service firm
  • High school diploma or equivalent work experience required
  • Demonstrated proficiency in Microsoft Office

Responsibilities

  • Serve as the welcoming face of our front desk, greeting clients and visitors with professionalism and warmth
  • Support daily office operations by handling incoming and outgoing mail, coordinating package deliveries, and maintaining office supplies
  • Assist with workflow support using project tracking software for complex financial statements, tax returns, and accounting services, ensuring deadlines are met for the client service team
  • Prepare and proofread monthly invoices, reports, and correspondence to provide excellent client service with high accuracy
  • Manage and participate in complex administrative projects across various topics, adhering to established deadlines
  • Gather, compile, and organize client financial data and documentation to enhance efficiency and meet deadlines
  • Provide high-level support to clients by assisting with portal access and resolving issues to ensure exceptional service
  • Train and support other administrative team members, contribute to process improvement discussions, and maintain office policies in collaboration with management
