About The Position

The Senior Academic Operations Specialist will lead the faculty reappointment process, manage all communications, timelines, and workflow execution. This role involves reviewing reappointment materials for accuracy, completeness, academic quality, and compliance with University of Cincinnati standards. The specialist will identify and resolve gaps or inconsistencies in faculty materials, track strict University of Cincinnati deadlines across multiple annual cycles, and ensure adherence to institutional, college, and accrediting-body policies. Additionally, the role focuses on process management and continuous improvement by implementing workflows, identifying streamlining opportunities, and supporting the expansion of ARPT processes. The specialist will coordinate logistics for the Promotion & Tenure Committee and Research and Discovery Committee (RDC) requisitions, maintain knowledge of various systems and databases, and assist with calendar management and long-range planning. A key aspect of the role is developing deep expertise in ARPT policies and academic standards, analyzing guidelines, resolving complex cases, and preparing analytics for reporting. The position also involves managing key partnerships and collaborations, communicating requirements to faculty and leadership, and serving as a resource for problem-solving and process clarification.

Requirements

Responsibilities

  • Lead the faculty reappointment process, manage all communications, timelines, and workflow execution.
  • Review reappointment materials for accuracy, completeness, academic quality, and compliance, including CV structure, scholarly productivity, professional effort, and University of Cincinnati standards for quality review.
  • Identify gaps, inconsistencies, or risks in faculty materials and work with leaders to resolve issues proactively.
  • Track and manage strict University of Cincinnati deadlines across multiple annual cycles (three promotion cycles and year‑round reappointments).
  • Ensure adherence to institutional, college, and accrediting‑body policies across all assigned processes.
  • Implement workflows, checklists, templates, and tracking systems.
  • Identify opportunities to streamline processes and reduce errors.
  • Support the expansion of ARPT processes to new partners in the organization.
  • Coordinate logistics and documentation for the Promotion & Tenure Committee and Research and Discovery Committee (RDC) requisitions.
  • Maintain knowledge of multiple unique systems and databases (SRSS, RedCap, etc.).
  • Assist with managing the ARPT calendar and long‑range planning activities.
  • Develop deep expertise in ARPT policies, University of Cincinnati guidelines, and academic standards.
  • Analyze and interpret guidelines, resolve complex cases, and prepare analytics for national/international reporting.
  • Communicate requirements, deadlines, and compliance expectations to faculty, administrators, and leadership.
  • Provide guidance to and partner with Division Directors, Business Directors, Administrative Leaders, Faculty Affairs Offices at University of Cincinnati College of Medicine, Promotion & Tenure Committee, Research and Discovery Committee (RDC), Institutional Stakeholders, etc. on ARPT standards, workflows, and best practices.
  • Serve as a resource for problem‑solving and process clarification, functioning independently and with minimal direction.
