About The Position

The Academic Support Specialist provides administrative and student support for advising operations across in-person and online programs. This role serves as a point of contact for students, families, faculty, and staff, addressing inquiries, resolving issues, and supporting individual student needs. Job Function Coordinates services, provides referrals to campus resources, and collaborates with university partners to ensure timely, accurate, and student-centered support that promotes student success and retention.

Requirements

  • Bachelor's degree or a high school diploma and 4+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
  • Good interpersonal skills because it is often the first contact with customers of the BCH Advising Office.
  • Familiarity with or willingness and ability to quickly and accurately learn the policies, practices and functions of the University of North Florida.
  • Intimate familiarity with all aspects of University and College policies along with the operations of other units with whom common collaboration is needed.
  • Ability to perform processing and work tasks.
  • Experience working in a customer service setting required.
  • Strong interpersonal skills and communication skills (both spoken and written) are required.
  • Possess a strong sense of the importance of customer service.
  • Must be well organized.
  • Capacity to learn and implement strong conflict resolution skills.
  • Strong computer skills.
  • Familiarity with enrollment services activities and responsibilities within the SUS.
  • Total support of the goals, initiatives, policies and procedures of Academic Advising as set by both the President and the Provost is required.
  • Requires a background check.
  • May require a credit check.
  • Designated as a “Responsible Employee” pursuant to their role under Title IX. Therefore, the incumbent must promptly report allegations of sexual misconduct, sexual violence, and child sexual abuse by or against any student, employee, contractor, or visitor to the University’s Title IX Administrator or any divisional Title IX Coordinator.

Responsibilities

  • Provide one-on-one assistance to students and the public in person, by phone, email, and Zoom.
  • Perform front desk duties including greeting visitors, answering and screening calls, monitoring Zoom walk-ins, and scheduling appointments/meetings.
  • Respond to general inquiries regarding BCH programs, UNF policies, deadlines, and online programs, routing complex questions as needed.
  • Assist students and online program participants with questions, issues, and onboarding requirements.
  • Contact students regarding key deadlines (e.g., registration, payment, graduation, enrollment purge).
  • Support academic advising operations, including applying/lifting program holds and assisting advisors/directors with administrative tasks.
  • Serve as a liaison between students, faculty, advisors, and university stakeholders when needed.
  • Assist online program directors and UNF Online staff with troubleshooting and student-related issues.
  • Attend program-related meetings and support communication across departments.
  • Review and route waiver requests; track approvals and notify appropriate staff for processing.
  • Monitor student traffic (walk-ins/appointments) and recommend improvements to the student experience.
  • Provide feedback to leadership on advising processes and student interactions.
  • Monitor email inboxes when Online Program Advisor is away or unavailable.
  • Must be able to work on the occasional weekend/evening to assist/participate in University events and program orientations/informational sessions.
  • During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off campus location or place or residence.
