About The Position

Sierra Vista Unified School District is seeking a passionate and dedicated Secretary for the Human Resources Department. Requirements

  • High School Diploma or equivalent
  • Minimum of two years of experience in an office with considerable public contact or an equivalent combination of experience, education, and/or training that demonstrates desired knowledge, skills, and abilities
  • Working knowledge of computer word-processing and Microsoft Office applications, and Google.
  • Ability to obtain a valid Arizona IVP Fingerprint Clearance Card
  • Ability to obtain and maintain Arizona Notary through the State of Arizona.
  • Strong organizational and record-keeping skills.
  • Ability to communicate effectively verbally and in writing
  • Ability to follow written and/or verbal instructions.
  • Ability to demonstrate interpersonal and problem-solving skills.
  • Ability to demonstrate exceptional customer service skills
  • Ability to maintain accurate records and reports.
  • Ability to work independently and as a member of the team.

Responsibilities

  • Perform confidential and routine Secretary assignments for the Office of Human Resources, applying knowledge of HR processes and school district policies and procedures.
  • Complete secretarial duties, including greeting visitors, answering telephones and inquiries, and providing information relevant to the department.
  • Maintain HR department emails and calendar, arrange appointments, conferences, and meetings.
  • Prepare agendas, various state and federal reports, and other resources for the Human Resources Department.
  • Process incoming correspondence and mail, compose correspondence independently, and produce department-related communications.
  • Manage Electronic Personnel Action Requests, positions, and vacancies.
  • Prepare and submit the Personnel Actions Report for each scheduled meeting of the Governing Board and compose correspondence based on Governing Board decisions.
  • Prepare and submit Agenda Item(s) as requested.
  • Complete responsibilities related to new hires, transfers, and employees leaving the district.
  • Assist with tracking and related communications for FMLA, ADA, and Leave of Absence requests.
  • Complete requests for information and transmission of information regarding unemployment compensation and employee verifications.
  • Perform data entry to maintain employee information in the appropriate district software.
  • Generate purchase requisitions for the Office of Human Resources and maintain budget records for purchases.
  • Prepare supply requests and work orders.
  • Follow confidential practices and procedures related to personnel file storage and retention.
  • Utilize, with fidelity, the District Positive Behavior Intervention Support (PBIS) program at the building level.
  • Ensure information obtained through the course of duties associated with this position is held in the highest of confidentiality.
  • Perform all duties in accordance with Federal and State laws, district procedures, and Board policies, including mandatory reporting procedures.
