About The Position

The Judicial Branch is seeking a Secretary to provide receptionist duties and clerical office support to district offices in Lincoln, NE. This role involves performing front desk duties, answering phone calls, providing general office and program information, contacting probation officers and staff for appointments, managing case intake files and documents, preparing legal documents and correspondence, tracking case information, and processing mail. The position may also involve guiding entry secretarial staff. The Judicial Branch does not sponsor STEM (form i-983) or non-immigrant work visas for this position. The work performed by the State of Nebraska is described as impactful, helping Nebraskans in various ways.

Requirements

  • High school diploma or GED; or 2 years of administrative support/clerical experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
  • All educational credits must be granted from an accredited institution approved by the U.S. Dept. of Education.
  • Knowledge of customer service principles.
  • Knowledge of modern office procedures, methods, and equipment.
  • Knowledge of basic filing and recordkeeping principles.
  • Knowledge of cashing handling techniques.
  • Knowledge of basic bookkeeping techniques.
  • Skill in using computers and related software applications.
  • Skill in providing customer service.
  • Skill in filing.
  • Skill in keyboarding.
  • Skill in using modern office equipment.
  • Skill in counting cash and balancing accounts.
  • Communication and interpersonal skills as applied to interaction with coworkers, supervisors, the general public, etc. sufficient to exchange or convey information and to receive work direction.

Responsibilities

  • Provide receptionist duties and clerical office support to district offices.
  • Perform front desk duties to check-in probationers.
  • Answer phone calls and provide general office and program information.
  • Contact probation officers and other staff for appointments/meetings and pre-sentence interviews.
  • Open and close case intake files.
  • Maintain case documents such as violations.
  • Prepare standard and routine legal documents, letters, and correspondence (e.g., jail waivers, travel permits).
  • Track, compile, and maintain routine case information (e.g., criminal history, driver's license).
  • Process daily incoming and outgoing mail.
  • Serve as an information source for callers/visitors, providing directions as required.
  • Maintain inventory of documents, brochures, and applications, distributing to visitors as requested.
  • Perform basic office support duties such as collating materials, distributing incoming mail, preparing materials for mailing, completing forms, proofreading, and typing routine correspondence and reports.
  • May provide guidance to entry secretarial staff.
  • Perform other duties of a similar nature or level.
