About The Position

Provides administrative support to the Civil/Warrants/CRT division of the Sheriff's office. This role involves processing warrants, subpoenas, and civil process, sending teletypes to other law enforcement agencies, and managing warrant information in TCIC/NCIC and local computer systems. The position also includes preparing Grand Jury summonses, running regular reports, reconciling bank statements, assisting with prisoner pick-ups, and performing various clerical duties such as preparing correspondence, answering telephones, distributing mail, and ordering office supplies. A key responsibility is to develop and run CRT reports and CRT officer reports.

Requirements

  • High school graduation or its equivalent, plus at least one year of experience; or any equivalent combination of education and experience, which provides the required knowledge, skills, and abilities.
  • Certification with the Texas Law Enforcement Telecommunications Service (TLETS).
  • Standard office practices and procedures.
  • Basic bookkeeping practices and procedures.
  • Operate computers, including word processing software.
  • Read instructions, letters, and memos.
  • Write reports, letters, memos, and telephone messages.
  • Balance accounts.
  • Operate office equipment, such as two-way radio, copy machine, and facsimile machine.
  • Communicate effectively, both in person and over the phone.
  • Maintain effective working relationships with co-workers and personnel of other law enforcement agencies.

Responsibilities

  • Processes warrants, subpoenas and civil process, including dating, entering on the office computer, entering into the TCIC/NCIC system, creating files, and distributing civil process.
  • Sends teletypes to appropriate law enforcement agencies to attempt to locate suspects.
  • Prepares miscellaneous paperwork for extraditions, including sending to the Governor's office for preparation of a Governor's Warrant.
  • Clears warrants, civil process, and CRT reports from the system once they have been executed, and files paperwork.
  • Prepares Grand Jury Summonses, including typing, obtaining Sheriff's signature, mailing, keeping track of the dates received by the prospective jurors, and returning a list of potential jurors to the District Clerk's office.
  • Keeps a ledger of all purchase orders written by the Civil/Warrants/CRT section, and makes copies of all original invoices.
  • Runs a weekly list of warrants, civil process, and CRT reports.
  • Receives travel expense vouchers from deputies picking up prisoners out of town, and types prisoner transport letters for the District Attorney's office and District Judges.
  • Receives payments for prisoner pick-ups, and turns them in to the Treasurer's office as a re-arrest fee.
  • Prepares a monthly report of warrants, civil process, CRT hearings and reports.
  • Receives validations from TCIC/NCIC for un-apprehended warrant subjects, and reenters information.
  • Receives statements and matches appropriate tickets with the bill; turns in statements and tickets to the Administrative Secretary - Sheriff.
  • Keeps a monthly ledger of prisoners picked up by the Sheriff's office and all civil process served.
  • Answers telephones, including taking messages, providing information, and transferring calls.
  • Maintains and updates filing system.
  • Sorts and distributes mail.
  • Processes fugitive paperwork, including assigning to a Deputy or Sergeant, and contacting a District Judge to schedule a fugitive hearing.
  • Reconciles bank statements.
  • Receives and enters into the computer all paperwork on sales, including receiving and depositing monies from sales, and disbursing monies.
  • Receives and enters civil process, CRT reports, subpoenas, and enters them into the computer.
  • Distributes to assigned deputies and returns appropriate papers to the proper courts and clerks.
  • Orders office supplies as needed.
  • Regular and timely attendance is required.
  • Must possess the physical and/or mental abilities required to perform the essential functions of the job.
  • Shall abide by all Midland County Policies and City, County Ordinances, State and Federal Laws.
  • Performs any assignment issued by chain of command and/or Sheriff.
