About The Position

The job of "Secretary" is done for the purpose of providing clerical support to school site administrative functions; conveying information regarding school and/or District functions and procedures; ensuring compliance with financial, legal and administrative requirements of assigned functions. This role involves maintaining student enrollment, demographic, academic, and graduation records, processing enrollments, withdrawals, and transfers, and preparing official and unofficial transcripts. The secretary will also respond to requests for student records, maintain knowledge of relevant laws and procedures, and provide administrative and clerical support to guidance counselors and school administrators. Additionally, the secretary serves as a primary point of contact for the Guidance Office, schedules appointments, supervises students in the office, and handles sensitive and confidential information with discretion.

Requirements

  • High School diploma or equivalent.
  • Prior job related experience with increasing responsibility.
  • Knowledge of rules and regulations related to assigned school, basic budgeting, financial and statistical record keeping, and standard office equipment.
  • Skills to operate standard office equipment including use of basic computer applications.
  • Use English in both written and verbal form.
  • Use correct spelling, grammar and punctuation.
  • Administer first aid.
  • Ability to sit for prolonged periods.
  • Work independently.
  • Understand and carry out oral and written instructions.
  • Interact with persons of various age groups and cultural backgrounds.
  • Reaching, handling, fingering, and talking/hearing conversation, near visual acuity/visual accommodation.
  • Concentration and attention to detail for repetitive tasks.
  • May deal with distraught or difficult individuals.
  • Dexterity and precision required in the operation of a computer.
  • May require carrying/lifting up to 25 pounds or pushing/pulling up to 10 pounds.
  • Fingerprint/Background Clearance.
  • First Aid Certificate.

Responsibilities

  • Maintains student enrollment, demographic, academic, and graduation records in the District's student information system.
  • Processes student enrollments, withdrawals, and transfers, including requesting and transmitting student records.
  • Maintains cumulative student records in accordance with District procedures and applicable state and federal requirements.
  • Prepares, reviews, and processes official and unofficial transcripts for current and former students.
  • Reviews student records and transcript information for accuracy and resolves discrepancies.
  • Obtains and processes Running Start grades and other college credit information from postsecondary institutions.
  • Works with guidance counselors to support the accurate entry and maintenance of course, credit, graduation, and academic information.
  • Responds to requests for student records from authorized parties in accordance with FERPA and District procedures.
  • Maintains knowledge of and applies laws, rules, procedures, and District requirements related to student records.
  • Provides administrative and clerical support to guidance counselors and school administrators.
  • Assists guidance counselors and administrators with programs, activities, events, and student services.
  • Serves as a primary point of contact for the Guidance Office, responding to inquiries and directing individuals to appropriate resources.
  • Schedules appointments and coordinates communication between students, families, guidance counselors, administrators, and other staff.
  • Supervises students in the Guidance Office.
  • Evaluates situations involving students, staff, families, and the public for the purpose of determining appropriate action.
  • Handles sensitive and confidential information with discretion.
  • Assists guidance counselors, administrators, and other personnel as needed.
  • Provides assistance with schoolwide administrative functions, programs, and activities as assigned.
  • Performs other duties as assigned.
