About The Position

The Secretary to Assistant Principal(s) provides secretarial support to ensure the smooth and efficient operations required of the school office. This role is crucial for maintaining the daily functions of the school office and supporting administrative tasks. The West Chester Area School District serves over 12,000 students across 17 schools and is known for strong academic outcomes, including a 95% graduation rate.

Requirements

  • High school diploma or equivalent necessary
  • Proficiency in the use of technology for individual communication and research
  • Possess effective interpersonal skills with the ability to interface diplomatically with other teachers, administrators, parents, students, support staff and outside professional contacts
  • Use hands to finger, handle or feel objects, tools or controls, and to talk and hear
  • Sit and occasionally be required to stand, walk, stoop, kneel and crouch
  • Have specific vision abilities to include close vision, color vision, and the ability to adjust focus
  • Ability to lift and/or move up to 25 pounds
  • Possess effective communication, judgmental, planning and human relations skills
  • Be required to work under periods of stress due to the level of the position responsibility
  • Be proficient in Microsoft Office (i.e. PPT, Excel, Word, etc)

Responsibilities

  • Answers phones and e-mails
  • Composes written and/or verbal correspondence
  • Maintains a customer service focus and welcoming demeanor
  • Disseminates essential information to key staff
  • Communicates with designated personnel to relay messages or emergencies
  • Establishes, monitors, and maintains confidential files and conversations
  • Controls access to the building, screens visitors and assists in directing visitors to the proper destination
  • Responsible for daily substitutes in the AESOP System including running of any necessary reports
  • Responsible for maintaining teacher emergency plans & substitute files
  • Responsible for staff coverages throughout the day including 504 & IEP meetings, parent meetings, traveling staff, sports, etc.
  • Liaison for transportation issues (parental concerns, alternate bus stops, creating new stops) year round
  • Maintains discipline records in PowerSchool
  • Prepares discipline referrals and corresponding paperwork for parental notification
  • Maintains system for storing of all discipline records
  • Monitors, tracks, schedules, and organizes teacher observations
  • Sends correspondence to Human Resources and/or designated official
  • Assists the designated administrator with coordinating building assessments
  • Assists the designated administrator with course scheduling tasks
  • Performs other duties as assigned
