About The Position

Ensure the efficient operation of the school administrative office and provide clerical services for the school’s administrative staff. This role involves managing records, correspondence, reception duties, filing, and assisting with accounting and inventory tasks. The position requires strong organizational and communication skills, proficiency in computer software, and experience in a secretarial role, preferably within a public education environment.

Requirements

  • High school diploma or GED
  • Proficient word processing and file maintenance skills
  • Effective organizational, communication, and interpersonal skills
  • Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
  • One to three years of secretarial experience, preferably in a public education environment.

Responsibilities

  • Prepare written correspondence, forms, schedules, or reports using a personal computer.
  • Prepare instructional materials, meeting agendas, and other campus communication as requested.
  • Maintain the assistant principal(s) calendar of events.
  • Schedule meetings and appointments and maintain the calendar for assistant principal(s).
  • Assist students, teachers, and parents as needed.
  • Receive incoming calls, take reliable messages, and route them to the appropriate staff.
  • Maintain physical and computerized files, including mailing lists, student records, visitor logs, and office communication.
  • Update handbooks, policy manuals, and other documents as assigned.
  • Receive, store, and issue supplies and equipment.
  • Maintain inventory of fixed assets, equipment, and supplies.
  • Sort, distribute, or deliver mail and other documents.
  • Maintain confidentiality.
  • Perform other duties as assigned.
  • Monitor the work of campus secretaries and clerical aides.
