About The Position

Organizes and manages the routine work activities of the Bilingual/ESL Department office and provides clerical and administrative support to Emergent Bilingual Curriculum Coordinators and other department staff.

Requirements

  • High school diploma or equivalent
  • Three (3) years of secretarial or clerical experience
  • Ability to handle multiple tasks simultaneously
  • Ability to meet established deadlines
  • Proficient skills in keyboarding, word processing, and file maintenance
  • Ability to use personal computer and software for word processing and to develop spreadsheets and databases, including but not limited to Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace
  • Excellent organizational, communication in English and Spanish (written and verbal) and interpersonal skills
  • Ability to exercise good judgment in handling confidential information
  • Professional demeanor and positive public relations skills
  • Ability to be self-directed, addressing responsibilities without waiting for instruction
  • Proactive in seeking clarification and/or answers when assignments are unclear.

Nice To Haves

  • Five (5) years of secretarial or clerical experience
  • Experience in a public education environment

Responsibilities

  • Prepares correspondence, forms, reports, etc., for the curriculum coordinators using personal computer.
  • Compiles pertinent data as needed when preparing various state and local reports.
  • Maintains physical and computerized departmental files.
  • Maintains student records as needed.
  • Performs routine bookkeeping tasks for the department, including simple arithmetic operations.
  • Assists with the preparation of purchase orders and payment authorizations.
  • Monitors and processes personnel time records, including leave requests and reports; compiles information and submits to central office.
  • Answers incoming calls, takes reliable messages, and routes to appropriate staff.
  • Maintains a schedule of appointments and makes travel arrangements for department staff.
  • Receives, sorts, and distributes mail and other documents to department staff.
  • Follows district safety protocols and emergency procedures.
  • Participates in professional development, department meetings, and special events as assigned.
  • Performs other duties as assigned.
