About The Position

The Department of Enterprise Services (DES), Honolulu Zoo is seeking a Secretary III. This full-time, permanent role in Honolulu involves providing executive administrative support, managing office operations, and applying knowledge of zoo operations while serving staff and the public. The position is responsible for managing executive communications, maintaining office operations, coordinating administrative support, serving as a liaison, and supporting organizational compliance.

Requirements

  • Citizen, national or permanent resident alien of the United States or a non-citizen eligible under federal law for unrestricted employment.
  • Equivalent to graduation from high school. Responsible work experience demonstrating the ability to perform the essential functions of the job may be substituted for education.
  • Four (4) years of secretarial, stenographic or substantive clerical experience.
  • An associate’s degree from a regionally accredited college or university or equivalent may substitute for up to one (1) year of secretarial, stenographic, or substantive clerical experience.
  • A bachelor’s degree from a regionally accredited college or university or equivalent may substitute for up to two (2) years of secretarial, stenographic, or substantive clerical experience.
  • Ability to apply office practices and procedures.
  • Ability to operate word processors and microcomputers, as required.
  • Ability to maintain filing methods and systems.
  • Ability to use proper grammar, spelling, and word usage.
  • Ability to apply principles and practices of supervision, as required.
  • Ability to take dictation at the rate of 80 words per minute and transcribe notes accurately, as required.
  • Ability to type and/or key/input information accurately.
  • Ability to understand and effectively use word processing and other software applications.
  • Ability to summarize and brief materials.
  • Ability to work harmoniously with others.
  • Valid Hawaii State Driver's License (Type 3/automobile), as required.

Responsibilities

  • Manage executive communications by organizing schedules, coordinating meetings, screening calls and visitors, and preparing official correspondence.
  • Maintain office operations by keeping accurate records, files, reports, payroll documents, personnel information, and office inventories.
  • Coordinate administrative support by supervising office staff as needed, assigning work, and ensuring daily office functions run smoothly.
  • Serve as the primary liaison between the Director, Assistant Director, and division supervisors to facilitate communication and follow-up.
  • Support organizational compliance by maintaining forms, updating administrative policies and procedures, and responding to routine inquiries and office needs.
  • Perform other related duties as needed.
