About The Position

Provides confidential, high-level administrative, technical, and reception support within the JCISD Human Resources department. This position serves as the first point of contact for employees, substitutes, applicants, administrators, and the public; plays a critical role in supporting district staffing, compliance, and operational efficiency. Demonstrates good judgment, maturity, reliability, responsibility and professionalism. Essential Duties And Responsibilities: Work is performed under the general supervision of administration. An employee in this position may be called upon to do any or all of the following: ( Does not include all tasks employee may be expected to perform.) Executive & Administrative Support Provide comprehensive administrative support to the Director of Human Resources and designated HR administrators. Coordinate calendars, schedule meetings, manage logistics for interviews and department staff meetings; assist with the coordination of staff orientations and employee recognition events. Maintain accurate and secure personnel records in compliance with district policy and legal requirements. Reception & Public-Facing Duties Serve as the primary receptionist for the JCISD central office, and the "Face of HR" greeting visitors, candidates, and the public, and providing assistance in a professional and welcoming manner. Answer and route incoming phone calls and electronic inquiries, ensuring accurate information and timely responses. Provide general information to staff, substitutes, applicants, and the public regarding the District, employment procedures, substitute services, and HR processes within the scope of the position. Maintain an organized and efficient front office environment. General Office & Department Operations Order and maintain office supplies and departmental materials in accordance with district procedures. Assist with HR project, compliance reviews, and reporting as assigned. Uphold confidentiality standards and exercise discretion when handling sensitive personnel and labor-related information. Process and track criminal background checks, employment clearances, evaluation and compliance documentation in accordance with state and federal law. Monitor employee credentials, permits, and employment eligibility for various employment classes. Administer, monitor, and maintain various HR-related systems, including EduStaff, RedRover, CHRISS, GCN, ICHAT, etc; Troubleshoot issues. Supervisory Responsibilities : None. Requirements

  • High School Diploma required; Associate's or Bachelor's degree preferred.
  • Minimum two years of administrative experience, ideally within an HR or educational setting.
  • Required training includes graduation from an accredited high school or equivalent education and experience, with additional course work and five years experience in performing secretarial and clerical work of a progressively responsible and difficult nature.
  • Experience in developing and maintaining accurate files.
  • Experience in use of office equipment such as computers, copiers, facsimile, etc.
  • Eligible for Notary Public .
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to use good grammar and to spell accurately.
  • Ability to meet the public with a pleasant, composed, and cordial manner.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent, and to create graphs.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to apply sound judgment.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Demonstrates good judgment, maturity, reliability, responsibility and professionalism.
  • Strong communication, computer and interpersonal skills.
  • Advanced skills in MS Office Suite and standard office technology.
  • Ability to learn and utilize new software programs as systems are upgraded.

  • Excellent organizational skills, ability to pivot between tasks in a fast-paced environment.
  • Ability to perform duties with awareness of all district requirements and Board of Education policies.
  • Exceptional discretion regarding confidential information a must.
