About The Position

The Human Resources team at The Rockefeller University supports the University's academic and administrative communities through talent management, academic appointments, employee wellness and benefits, policy administration, employee relations, immigration, and other strategic HR initiatives. Reporting to the Director of Employment, the Human Resources Assistant provides broad administrative and operational support across multiple areas of Human Resources. Nice To Haves

  • At least one (1) year of human resources, administrative, customer service, internship, or related experience preferred.
  • Proficiency with Microsoft Office applications; experience with Oracle E-Business Suite, iCIMS, or other HR systems is preferred.

Responsibilities

  • Serve as a welcoming first point of contact for employees, students, applicants, and visitors, responding to inquiries and directing individuals to appropriate resources.
  • Support onboarding activities and assist with the coordination of new hire processes.
  • Perform a variety of administrative duties, including data entry, document preparation, record maintenance, and transactional processing.
  • Collaborate with campus partners to facilitate employee updates and personnel changes.
  • Maintain HR webpages, internal documents, tracking systems, departmental contact lists, and other resources to ensure information is current and accurate.
  • Prepare and distribute employee communications, notifications, and mailings.
  • Enter and maintain information in Oracle (HRIS), iCIMS (ATS), and other HR systems.
  • Assist with temporary staff administration and support academic appointment processes in partnership with Academic Affairs and the HR team.
  • Participate in special projects and provide support across HR functions as departmental priorities evolve.
  • Maintain strict confidentiality and exercise sound judgment when handling sensitive information.
