About The Position

The HR Assistant will be responsible for providing administrative support for the HR department. The duties related to this position will include collecting employees’ personal information and compiling personnel records, posting job openings, and reviewing applications to ensure that applicants are qualified for positions advertised for the organization. The HR Assistant will be responsible for creating, and maintaining various Adhoc reports related to employee benefits, paid-time-off (PTO), and any others as assigned within the Human Resources department. The Human Resources Assistant will perform functions which rely on a substantial knowledge of HR terminology, requirements, process, procedures, and operations, in addition to regulatory requirements as applicable to HR transactions.

Requirements

  • Bachelor Degree in Human Resources, Business Administration, and/or an equivalent degree preferred
  • Knowledge of Human Resources principles
  • Minimum of three (3) years of overall Human Resources experience preferably in a corporate environment
  • Ability to interact within all levels of the organization
  • Works independently with little to no supervision
  • Must be detail oriented with a strong sense of time and priority management
  • Multitasking - coordinate a variety of tasks simultaneously and effectively meeting deadlines and maintaining a quality work product
  • Strong communicate and interact effectively with internal and external individuals and groups at all levels and from diverse backgrounds, and maintains a professional demeanor
  • Working knowledge of Microsoft Office applications
  • Microsoft Excel, Outlook, Word, PowerPoint proficiency is integral to this position
  • Working knowledge of HRIS and HR vendor software systems
  • UltiPro, ADP, Paychex, etc.
  • Must be able to maintain high degree of confidentiality regarding all HR, benefit and payroll matters with the organization
  • Demonstrate commitment to performance and results
  • Highly organized and capable of working with minimal direction
  • Eagerness to learn and should be receptive to being trained and/or coached
  • Reliable/dependable and willing to go the “extra mile” to accomplish individual, HR department, and company goals
  • Problem solving & analytical, with the ability to perform basic math calculations, input data into the computer and analyze data as requested
  • Possess a courteous, positive, service-oriented attitude when dealing with both internal and external contacts

Nice To Haves

  • The ability to read, write and speak Spanish is a plus (but not required)

Responsibilities

  • Provide support and work closely with HR manager to ensure compliance by all business areas with applicable federal and state laws, regulations, and guidelines in the USA and Canada
  • Assist with compiling employee communications and record keeping
  • Coordinates HR supply orders with Office Administration team
  • Assists with coordination of HR related events and Company functions
  • Provides support to HR Manager / Director, hiring managers, candidates, and staff during recruitment and staffing activities (i.e., recruiting efforts, internal and external job postings, employee relations, and benefits reconciliations, etc.)
  • Prepares new hire enrollment kits, and assists with new hire orientation and onboarding
  • Assists HR department with maintaining records of eligibility and employee benefit files
  • Process employment applications and associated tasks related to the hiring process (i.e., employment verification, background checks etc.)
  • Prepares exit interview packets, and coordinates with managers, supervisors, and technical support as needed
  • Assist HR department and employees with benefit and 401(k) enrollments, changes, in addition to assisting with the annual open enrollment, performance and/or other processes and communication as assigned by the Human Resources Manager / Director
  • Assist in preparing and processing payroll for Canada employees and project sites
  • Other business-related duties as instructed by the Human Resources Manager / Director
