About The Position

Secretary II plays a pivotal role in ensuring the smooth and efficient operation of administrative tasks within the school. Exceptional organizational skills, attention to detail, and ability to communicate effectively will contribute to maintaining a positive and productive environment for students, staff, and parents. This position performs a wide variety of secretarial, clerical and bookkeeping duties using independent judgment within generally defined methods, practices and procedures.

Requirements

  • High school diploma or equivalent
  • Successful experience with positive office communication required (A history of clear communication with district staff, students, parents, and the general public using tact, courtesy and good judgment, even with constant interruptions).
  • Documented history of working with all staff members in a positive, cooperative, and professional manner.
  • Demonstrated knowledge and skills of office practices, procedures, and equipment.
  • Demonstrated knowledge and skills of general bookkeeping practices and procedures.
  • Demonstrated knowledge, skills, and abilities to effectively use a variety of computer applications such as Google Suite, Word, Excel, Skyward, and others as specified.
  • Demonstrated knowledge and skills to develop and maintain office procedures and recordkeeping systems.
  • Demonstrated knowledge and skills to independently plan, organize, and coordinate office activities, often in the supervisor’s absence.
  • Demonstrated abilities to type or enter data quickly and accurately.
  • Demonstrated knowledge and ability to perform calculations quickly and accurately and record and balance financial data.
  • Ability to work independently with a high degree of accuracy and attention to detail in all areas.
  • Demonstrated ability to understand and execute verbal and written instructions, policies, and procedures.
  • Ability to maintain the confidentiality of sensitive information.
  • Documented history of good attendance.
  • Good attendance and punctuality are required.
  • Must have the ability to relate in a positive manner with supervisors, staff, students, families, and the public using tact, courtesy, kindness, and professionalism in all situations.
  • Able to communicate effectively both orally and in writing.
  • Effectively use a variety of Google computer applications such as the following: Google Docs, Google Sheets, Google Forms, Google Calendar, etc.
  • Ability to work in an office atmosphere, which requires assisting and working well with other staff members, parents, and students.
  • Must have strong written and oral language skills, be detail-oriented, and have excellent attendance.
  • Ability to independently plan, organize, and coordinate assigned activities, often in the supervisor's absence.
  • Ability to work cooperatively with administrator(s) and staff to maintain a safe and caring learning environment.
  • Must be professionally dressed and maintain a clean, professional workspace.
  • Ability to maintain the confidentiality of sensitive information.
  • Ability to successfully complete the typing assessment with a score in the upper Moderately Effective to Highly Effective range.

Nice To Haves

  • School secretarial experience preferred.
  • Bilingual preferred.
  • Knowledge of the SKYWARD system is preferred.
  • Knowledge of the Homeroom Data system preferred.

Responsibilities

  • Work directly with Career Center College Counselor, Principal and CTE Director
  • Welcome students into the career center and work with them
  • Managing resources for students and parents
  • Managing (career center) chromebooks and other technology
  • Event Planning - Responsible projected planning and support for all Career related events such as MLHS Career Fair, Big Bend Events, FAFSA events, Parent Nights, etc.
  • Willingness to drive students to events - obtain the approval from the district (driving abstract, insurance, etc.)
  • High School and Beyond Planning
  • District-wide support of SchooLinks (college & career platform)
  • Manage the software setup
  • Manage the industry partners section of the system
  • Manage the scholarships with the system
  • Manage staff accounts
  • Manage student rosters beyond the automated rosters
  • Run and develop reports as needed to distribute to building administrators and teachers
  • Provide general support to end users (students, staff, parents, industry partners, etc.)
  • Coordinate with partners and post secondary recruiters ie with colleges, military, etc.
  • FAFSA - support students and families with general questions and provide resources
  • Develop skills with in Canva to support the creation of marketing materials and monthly newsletter and distribute these created materials to end users
  • Strong understanding of Skyward Student Information System on the student side of the system
  • Develop skills to support the use of Parent Square to maintain a web presence for MLHS and utilize to communicate with students, staff, and parents
  • Consistently deliver outstanding customer service to ensure a positive experience for all.
  • Greet each individual with warmth and professionalism.
  • Assists in developing office procedures and policies; establishes and maintains recordkeeping systems.
  • Formats, types, edits, and proofreads correspondence, memos, forms, reports, meeting minutes, and other documents from handwritten draft, oral instructions, or dictation using a variety of computer applications; documents may be confidential in nature.
  • Assists in Career Center budget tasks including submitting CTE purchase order requests and assigning budget codes.
  • Establishes and maintains a filing system of detailed records, including the updating, transferring, and purging of files.
  • May be asked to work beyond the required workday on occasion due to emergency issues or projects.
  • Utilize flex-time and flex-schedule to accommodate evening events.
  • Schedules appointments and maintains calendars for assigned staff.
  • Ability to assist in accurate record-keeping for such things as state accounting/auditing purposes, etc.
  • Work with a minimum of supervision.
  • Performs receptionist duties by answering and routing telephone calls and providing assistance and information to the public in person, in writing, or by telephone.
  • Assist in scheduling appointments and maintaining calendars for assigned staff.
  • Establish and maintain a filing system of detailed records, including the updating, transferring, and purging of files.
  • Work with Parent Square for communication with staff, students, and families.
  • Be a team player.
  • Work cooperatively with the principal and staff to maintain a safe school and caring learning environment.
  • Assist with the supervision of students during college & career events when needed .
  • Interpret as needed if an individual possesses multiple language skills.
  • Assist administration by providing secretarial support as needed.
  • Maintain excellent attendance and punctuality.
  • Perform other duties of a similar nature or level as assigned.
