About The Position

The Secretary to the Executive Director of Special Services for Midland Independent School District demonstrates competency in standard programs of The National Association of Educational Office Personnel, including typing, filing procedures, office records, management, and business writing. This role performs various secretarial and clerical tasks under the guidance of the Executive Director and other special services personnel, manages office operations, maintains records, and handles communication with parents and staff.

Requirements

  • High School Diploma or GED
  • Business orientation or equivalent business school training
  • Knowledge of secretarial skills
  • Microsoft Office 2010
  • General clerical/secretarial experience

Responsibilities

  • Performs and assumes secretarial tasks under general guidance of Executive Director of Special Services.
  • Performs secretarial duties for special services supervisor.
  • Performs secretarial duties for associate psychologist.
  • Answers incoming calls for 10 special education phone lines.
  • Distributes mail for all central office special services personnel.
  • Prepares correspondence, reports, requisitions, and special education calendar.
  • Makes routine decisions in accordance with established priorities and policies.
  • Accepts responsibilities for making office reports.
  • Supervises the special education office operations.
  • Establishes and maintains fiscal accounts.
  • Maintains personnel attendance list.
  • Performs assigned routine clerical tasks under direction and supervision of Executive Director of Special Services.
  • Performs tasks such as routine filing in general office operation.
  • Maintains special education records.
  • Issues consumable teaching and office supplies.
  • Maintains supply inventory.
  • Takes dictation or other forms of speed writing.
  • Schedules appointments, conferences and interviews.
  • Assumes supervisory functions for Special Services office.
  • Types and monitors for accuracy 3 budget printouts.
  • Types all SAS and other applications.
  • Maintains data in folders of Special Services files.
  • Keeps records on all new Special Services applicants.
  • Codes and reviews requisitions for all Special Services personnel.
  • Types residential applications and confers with residential personnel.
  • Copies material from student folders for parents as requested.
  • Maintains time sheets on all non-contract employees.
  • Maintains Family Services referrals and reports.
  • Maintains all physician referrals and reports.
  • Arranges transportation for special education students to Special Olympics and other field trips.
  • Maintains schedule for associate psychologist.
  • Checks Special Services fixed asset inventory.
  • Arranges meeting sites for in service and personnel.
  • Prepares in service materials.
  • Maintains homebound/itinerant teachers’ schedules.
  • Reproduces papers for itinerant personnel.
  • Makes travel and housing arrangements for special services personnel to workshops.
  • Engages in numerous conversations with parents.
  • Types purchase requisitions for all itinerant personnel.
  • Arranges meeting site for Special Services advisory committee.
  • Types and distributes letters and minutes for Special Services Advisory Committee.
  • Arranges for and prepares refreshments for Special Services meetings.
