About The Position

The State of Connecticut, Department of Children and Families (DCF) is accepting applications for a Secretary 1 position. This is a full-time, first shift position located in Hartford, working 40 hours per week, Monday through Friday, from 8:00 am to 5:00 pm, with a hybrid work schedule. This position is open to current DCF employees only. The role involves performing a full range of secretarial support functions within a state agency.

Requirements

  • Current State of Connecticut employee with at least six (6) months of full-time service or full-time equivalent service in the agency.
  • Two (2) years of experience above the routine clerk level in office support or secretarial work.
  • Ability to schedule and prioritize office workflow.
  • Ability to operate office equipment which includes computers, tablets, and other electronic equipment.
  • Ability to operate office suite software.
  • Ability to take notes (shorthand, speedwriting or other method acceptable to the supervisor).

Nice To Haves

  • Experience working with Microsoft Outlook, Word, Excel, PowerPoint, and Teams for scheduling.
  • Experience coordinating meetings and taking minutes.
  • Experience with Connecticut On-Line Law Enforcement Communication Teleprocessing System (Collect) and National Crime Information System (NCIC).
  • Experience utilizing the Core-CT & Kronos for timesheet entering.
  • Experience developing office procedures and systems, including electronic filing systems, invoice, supply order.
  • Experience maintaining up-to-date information for a large group of staff members, including attendance records, travel authorizations, reimbursements, calendars.

Responsibilities

  • Formats and types a full range of correspondence, reports, bills, drafts, etc., from rough draft, transcription, or dictated notes, and proofreads for content.
  • Designs office filing systems, organizes and maintains files (including confidential files), and maintains, updates, and reviews reference materials and manuals.
  • Composes routine letters and memoranda for supervisor's signature.
  • Compiles information from standard sources and prepares data reports.
  • Greets and directs visitors, answers phones, takes messages, and answers questions requiring knowledge of terminology, organization, and supervisor's responsibilities.
  • Scans correspondence, pulls and attaches related materials, and reviews, routes, and prioritizes mail.
  • Arranges and coordinates meetings, including space and equipment.
  • Writes minutes of meetings, lectures, and conferences from rough draft.
  • Takes notes and/or meeting minutes.
  • Prepares expense accounts and makes travel arrangements.
  • Maintains an inventory of supplies and equipment, orders supplies when necessary, and completes, processes, and maintains paperwork for purchasing.
  • Maintains time and attendance records.
  • Performs related duties as required.
