Meridian Charter Schools is a school management organization (SMO) in Chicago, IL that operates three campuses of Chicago International Charter School: CICS Ralph Ellison High School, CICS Northtown Academy High School, and CICS Wrightwood Elementary School. The School Operations Coordinator is responsible for coordinating the day-to-day operational functions that support the efficient and effective operation of CICS Ralph Ellison High School year-round. This position oversees school operations including athletics, state and local assessment coordination, front office management, administrative support, school events, facilities coordination, student records, and operational logistics. The School Operations Coordinator serves as a key member of the school's operations team, ensuring that students, staff, and families experience a safe, organized, and welcoming environment while allowing instructional leaders to focus on teaching and learning. This is a full-time, 12-month position. Occasional evening and weekend hours may be required to support school events, athletic competitions, testing activities, and family engagement events.

Requirements

  • High school diploma or GED required.
  • Three (3) or more years of experience in school operations, office administration, athletics, testing coordination, or a related field.
  • Demonstrated ability to manage multiple projects simultaneously while meeting deadlines in a fast-paced environment.
  • Strong organizational and time management skills with exceptional attention to detail and the ability to prioritize competing responsibilities.
  • Excellent written and verbal communication skills with the ability to effectively interact with students, families, staff, vendors, and community partners.
  • Proficiency with Google Workspace and Microsoft Office Suite
  • Ability to maintain confidentiality, exercise sound judgment, and demonstrate professionalism, discretion, and integrity in all aspects of the position.

Nice To Haves

  • Associate degree or additional post-secondary coursework, Bachelor’s Preferred
  • Experience working in a K–12 school or charter school environment.
  • Experience coordinating state and local assessments, including test security and accommodations.
  • Experience managing athletic programs, extracurricular activities, or school events.

  • Equivalent combinations of education, training, and relevant work experience will be considered in lieu of formal education.

Responsibilities

  • Develop and maintain operational procedures and systems.
  • Manage operational calendars and coordinate school-wide logistics.
  • Support school safety procedures and emergency preparedness plans.
  • Ensure operational compliance with network, district, and state requirements.
  • Coordinate athletic schedules, transportation, officials, facility use, and equipment.
  • Support coaches with student eligibility verification and game logistics.
  • Maintain athletic records and communications with families and league representatives.
  • Ensure compliance with IHSA and network athletic requirements.
  • Coordinate athletic events, concessions, and supporting student participation.
  • Coordinating testing schedules and logistics.
  • Managing secure testing materials and assessment documentation.
  • Ensuring testing accommodations are implemented appropriately.
  • Train staff on testing procedures and ensure testing compliance.
  • Maintain assessment records and submit required reports.
  • Ensure compliance with all assessment protocols and regulations.
  • Coordinate reception and visitor management.
  • Ensure excellent customer service for students, families, staff, and community members.
  • Maintain office supplies, equipment, and operational resources.
  • Support efficient office workflows and communication.
  • Prepare reports, correspondence, and operational documentation.
  • Coordinate meetings, school events, and staff logistics.
  • Assist with purchasing, inventory, and vendor coordination.
  • Maintaining organized operational records and documentation.
  • Assist with student enrollment, registration, withdrawals, and transfer processes.
  • Maintain accurate and confidential student records in accordance with district, state, and federal requirements.
  • Support attendance monitoring, student information systems, and compliance reporting.
  • Coordinate student records requests, cumulative files, and records transfers.
  • Assist with the implementation of the school's Multi-Tiered System of Supports (MTSS), including tracking interventions and documenting student progress.
  • Support with Identification and coordination of Tier 2 academic, attendance, behavior, and social-emotional interventions for students requiring additional support.
  • Monitor student on-track indicators, including attendance, grades, behavior, and credit accumulation, and coordinate interventions for students at risk of falling off track.
  • Schedule and coordinate student intervention meetings, maintain intervention records, and communicate with staff regarding support plans.
  • Collaborate with counselors, teachers, administrators, and families to ensure students receive appropriate supports and referrals.
  • Prepare reports and analyze student data to inform intervention planning and continuous improvement efforts.
  • Coordinate facility maintenance requests and follow up.
  • Schedule building use and special events.
  • Coordinate transportation for field trips, athletics, and school activities.
  • Monitor operational readiness of classrooms and shared spaces.
  • Coordinate logistics for events including, but not limited to: Open House, Parent Conferences, Graduation, Athletic Events, School Assemblies, Testing Days, Staff Professional Development, Family Engagement Activities.
  • Maintaining required operational documentation.
  • Monitoring reporting deadlines for network, district, and state agencies.
  • Support school operational audits and compliance reviews.
  • Ensure confidentiality of student and personnel information.
