About The Position

Mercy Culture Prep is seeking a highly organized, servant-hearted, and detail-oriented Athletic Coordinator to support the daily operations of our athletic department. This individual will partner closely with the Athletic Director to ensure excellence in administration, compliance, communication, and game-day operations while helping cultivate a Christ-centered athletic culture. This is a part-time position (20–25 hours per week) that includes responsibilities throughout the summer months.

Requirements

  • Strong organizational and administrative skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects while meeting deadlines.
  • Proficiency with Google Workspace and willingness to learn department software (Band, Planning Center, Martus, etc.).
  • Ability to work independently while thriving in a collaborative team environment.
  • Flexible schedule, including occasional evenings and weekends for athletic events.
  • Demonstrates professionalism, integrity, and a servant’s heart.
  • Passion for Christian education and alignment with the mission and values of Mercy Culture Prep.

Responsibilities

  • Coordinate scheduling and communication with game officials.
  • Maintain TAPPS compliance, documentation, and eligibility requirements.
  • Manage student-athlete physicals and required athletic documentation.
  • Maintain inventory of athletic equipment, uniforms, and gear.
  • Ensure athletic facilities, offices, and storage areas remain organized and well maintained.
  • Process and manage Planning Center (PCO) requests for athletic events and activities.
  • Develop and maintain positive relationships with athletic vendors and service providers.
  • Recruit, train, and schedule Game Day Administrators.
  • Coordinate game-day support staff, including clock operators, scorekeepers, and other stipend workers.
  • Coordinate concession purchasing and inventory for home athletic events.
  • Assist with setup and operational logistics for competitions and special events.
  • Assist the Athletic Director with budget stewardship, purchasing, and Martus financial management.
  • Coordinate communication with athletic families through Band, including department-wide reminders and announcements.
  • Support campus events utilizing athletic facilities, including Field Days, Chapels, and other school activities.
  • Provide administrative support to school leadership as needed, including field trip transportation, vehicle fueling, and other operational tasks.
  • Assist with administrative coordination for Mercy Culture Sports League programs.
