About The Position

The Girls Leadership Academy of Wilmington (GLOW Academy) is seeking a passionate and committed School Office Manager to support student achievement and success. This role is central to the school's mission of fostering "whole girl" education, emphasizing leadership development, college and career readiness, health and wellness, and STEM/arts opportunities. The ideal candidate will be a collaborative team player, dedicated to building strong relationships with students, families, and colleagues, and committed to single-gender education and closing the achievement gap. The School Office Manager will manage daily operations, support admissions and enrollment, maintain student records, and serve as a key point of contact for staff, students, and families. This is a full-time, 12-month position reporting to the Principal.

Requirements

  • Experience in school office management
  • Competent to work in a diverse and ever-changing learning environment
  • Understand that learning is a lifelong endeavor and wish to continue to grow and learn as professionals
  • Bachelor’s Degree preferred
  • 2-3 years in an administrative role preferably in an education facility
  • Considerable knowledge of data management, including Infinite Campus
  • Digital fluency in Microsoft Word, Microsoft Excel, and PowerPoint, as well as Google Suite
  • Ability to communicate clearly and concisely both orally and in writing
  • Ability to work with a high degree of accuracy
  • Ability to maintain complete and accurate records and to develop standard reports from those records
  • Strong organizational skills
  • Ability to interact with the public in a professional manner
  • Is a self-starter- the ideal candidate will be innovative in their approach to meeting personal and department goals
  • Physical ability (able to exert up to 20 pounds of force occasionally) and dexterity to perform the duties and responsibilities of the job
  • Possession of a valid TB test issued by the local county board of health or recognized medical authority is required for employment.

  • Knowledge of Infinite Campus is preferred, but not required.

Responsibilities

  • Be the main point of contact and resident expert in all Infinite Campus matters among staff, students and families
  • Manage all NCEdCloud staff and student accounts
  • Support Admissions and Enrollment of new students and families
  • Manage all student records, including all transfer records (incoming & outgoing), as well as manage the creation and maintenance of the end-of-year record clean-up process
  • Ensure student and family information is correct and up-to-date
  • Maintain all student cumulative folders, including the creation of folders for new students
  • Maintain strict confidentiality regarding all student information
  • Serve as the main point of contact for the ordering, receiving and distribution of all supplies
  • Arrange and maintain any coverage needs in the school, including teachers, nurse and office staff
  • Submit Child Nutrition claim reports
  • Ensures that all daily transportation changes are properly received, communicated and executed
  • Manage staff key cards, including the proper creation and deactivation of devices
  • Ensure that all substitutes are properly checked in and in the correct classroom
  • Manage all email accounts for students & staff - create, activate, suspend, and change passwords
  • Serves as the administrative assistant to the Principal in all internal and external matters and communication
  • Serve as school’s language interpreter and/or coordinate language interpreter services, as needed
  • Attend faculty meetings as appropriate
  • Serve as the back-up for School Nurse; administer first-aid and medications to students; maintain medication logs for all prescription and non-prescription medications administered
  • Monitor security flags from Ident-A-Kid check-in system
  • Attend school-wide events as appropriate
  • Perform all other duties and responsibilities assigned by the Principal or designee
  • Be positive, approachable, and professional in interactions with parents, faculty, students, and community members
  • Serve as the front-line public relations person by presenting and explaining GLOW’s mission, philosophy, admissions policy, and procedures for enrollment to the community
  • Answer incoming telephone calls and establish needs of callers in order to refer them to the appropriate staff person for service; distribute messages to staff; review all incoming information and communication and respond appropriately
  • Facilitate maintenance of school equipment (copiers, fax, etc.)
  • Assure that all materials and forms for public and staff distribution are readily available
  • Sign and commit to GLOW Academy’s professional conduct policy and confidentiality agreement
  • Act as a role model of GLOW Academy’s social curriculum in all interactions with faculty, staff, students, parents, Board of Directors and community members
  • Other duties as assigned to ensure successful and effective operations of the office/administration and the school
