The Office of the Dean is seeking an experienced, highly organized professional to serve as the Dean’s Office Manager, supporting the School’s senior leadership and ensuring the smooth operation of the Dean’s Office. We welcome candidates from higher education, government, nonprofit, research, and private sector environments who have supported senior leaders in complex organizations. This is a front office position. This position plays a central role in the success of the Dean’s Office and the School of Engineering. The Dean’s Office Manager provides high-level administrative support to the Dean, Associate Deans, and the Academic Operations Officer, managing complex calendars, travel, and confidential correspondence. Key duties include acting as a liaison with internal and external stakeholders, coordinating meetings, preparing reports and materials, and maintaining efficient office operations. The person in this role will interact regularly with faculty leadership, university administrators, industry partners, and community stakeholders, and must be able to represent the School and the Dean in a professional manner, with efficiency, discretion, and professionalism. Successful candidates bring exceptional judgment, strong communication skills, and the ability to manage multiple priorities while maintaining a welcoming and highly professional environment for faculty, staff, students, and external partners.

Requirements

  • High school diploma or GED; at least 6 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Nice To Haves

  • Bachelor’s degree in any discipline.
  • Experience providing high-level administrative or operational support to an executive leader (e.g., Dean, Provost, VP, CEO, or similar) in a confidential setting.
  • Experience in higher education, research institutions, or complex organizational environments.
  • Certified Administrative Professional (CAP) or Certified Executive Assistant (CEA).
  • Exceptional written and verbal communication skills, including executive correspondence and formal meeting minutes.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, and Adobe Acrobat.
  • Event planning experience coordinating meetings and events ranging from small executive gatherings to large events (50–100 participants).
  • Experience with purchasing systems and corporate credit card reconciliation.
  • Familiarity with HR processes related to staff or student hiring, onboarding, and timekeeping.

Responsibilities

  • Manage complex calendars for the Dean and senior leadership, including prioritizing requests, coordinating schedules across multiple stakeholders, and resolving conflicts.
  • Serve as the primary point of contact for internal and external scheduling and coordination requests.
  • Coordinate executive travel arrangements, logistics, and briefing materials.
  • Draft and manage confidential communications and correspondence on behalf of the Dean’s Office.
  • Anticipate executive needs and proactively address issues to ensure continuity and efficiency.
  • Oversee day-to-day operations of the Dean’s Office to ensure a smooth, efficient, and professional work environment.
  • Maintain organized systems for documents, communications, and administrative workflows.
  • Responsible for purchasing and inventory management for the office. Will hold and reconcile corporate credit card transactions in accordance with University policy.
  • Identify opportunities to improve office processes and implement operational improvements.
  • Prepare agendas, materials, and follow-up actions for School-level meetings.
  • Record and maintain official meeting minutes; familiarity with Robert’s Rules of Order is preferred.
  • Coordinate events and special projects ranging from small executive meetings to large gatherings with complex agendas and logistics.
  • Maintain the college-level academic course schedule and coordinate catalog and curriculum updates with the Associate Dean.
  • Support staff and student hiring processes in collaboration with the Academic Operations Officer.
  • Oversee the Dean’s Professional Development Fund and related financial processes.
