About The Position

The Scholarship Operations and Outreach Specialist supports scholarship and financial aid operations, with a primary focus on independent and externally funded scholarships not administered through the Foundation Office. The position reviews eligibility information, coordinates with students, internal departments, the Foundation Office as needed, and external donor organizations, and prepares student communications. The position also processes, tracks, and reconciles scholarship-related activity and may assist with general Financial Aid duties during peak operations or as assigned. This is a full-time, 12-month benefit-eligible position.

Requirements

  • Knowledge of automated financial aid and scholarship processing systems.
  • Knowledge of government rules, regulations, guidelines, and procedures related to Financial Aid and scholarship operations.
  • Skill in using standard office software, including Microsoft Word and Excel.
  • Ability to work effectively in a multicultural, diverse environment and interact with others in a supportive, collaborative, and positive manner.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Associate degree in Business Administration or a related field and two years of related experience; or four years of related experience; or any equivalent combination of education and experience sufficient to successfully perform the essential duties of the job, as approved by the Human Resources department.

Responsibilities

  • Supports assigned independent and externally funded scholarship programs and outreach activities by providing community members of Coconino County with educational information about scholarship opportunities through early awareness and outreach efforts.
  • Responds to student questions and provides scholarship application and eligibility assistance.
  • Assists with preparing, tracking, and updating departmental scholarship outreach objectives and activities.
  • Coordinates scholarship eligibility information with internal departments, the Foundation Office as needed, Foster Care to Success, tribal financial aid contacts, external agencies, and other staff to support consistent scholarship processes and student outreach.
  • Reviews scholarship and outreach practices and prepares communication materials and outreach information to support early awareness, retention, and completion.
  • Coordinates comprehensive outreach and engagement efforts to promote scholarship and financial aid opportunities and increase student access to financial resources.
  • Serves as a point of contact for students, staff, and external donors by responding to inquiries and providing information about scholarship practices, procedures, and outcomes.
  • Processes and tracks external scholarship funds received and coordinates deposits with Student Accounts.
  • Reconciles scholarship accounts, including return of funds and adjustments.
  • Monitors student eligibility requirements for scholarship renewal.
  • Presents various Financial Aid topics to groups of parents and students at all CCC Campuses and around Coconino County.
  • Follows established College, state, and federal financial aid regulations and procedures related to scholarships, Title IV program requirements, awarding, disbursing, recalculation, and reconciliation of student and program accounts.
  • Provides information to students, parents, visitors, and College employees about financial aid processes, policies, and procedures by phone, email, video conferencing, or in person in a positive and professional manner.
  • Responds to incoming requests and initiates outgoing communications through phone, letter, email, video conferencing, or other electronic methods.
  • Provides limited educational advisement and refers students to Academic Advisement, Registration and Enrollment Services, and other support offices as necessary.
  • May review and verify student, spouse, and parent documentation submitted to ensure completeness, compliance, and authenticity.
  • Handles sensitive or confidential documentation in accordance with information protection procedures and policies.
  • Logs documentation into the Banner computer system and scans or imports images into the document imaging system.
  • May calculate Satisfactory Academic Progress for students.
  • May assist with reviewing, verifying, and processing financial aid files to determine financial aid eligibility.
  • Assists with responding to the financial aid general email account and voicemails.
  • Uses the National Student Loan Data System, FAA Access to CPS, and other Department of Education systems.
  • Assists students with FAFSA completion, scholarship applications, College requirements, and understanding academic progress requirements.
  • May provide work direction and training to student employees.
  • Cross-trains within Financial Aid, with other College offices, and with financial aid officers at other institutions. This may include occasional travel to regional trainings.
  • Understands and abides by the Office of Student Financial Aid code of conduct and ethical guidelines.
  • Uses standard office equipment such as a copier, telephone, fax machine, personal computer, document scanner, printer, etc.
  • Serves on committees as assigned, consistent with expectations for full-time, regular employees.
  • Performs other duties as assigned.
