About The Position

Living Water Clinic – Clinica Agua Viva is seeking a highly organized and detail-oriented Scheduler to join our team. In this role, you will be responsible for coordinating and booking patient appointments to ensure providers’ schedules are optimized and patients receive timely, high-quality care. The ideal candidate is a strong communicator who thrives in a fast-paced environment and takes pride in creating a smooth, efficient scheduling experience for patients and providers alike.

Requirements

  • High school diploma or equivalent; additional healthcare administration training is a plus.
  • Previous experience in appointment scheduling or administrative work in a healthcare setting.
  • Bilingual preferred (English/Spanish).
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills for patient and staff interaction.
  • Proficiency in scheduling software and electronic health record systems.
  • Ability to perform well in a fast-paced environment.
  • Strong attention to detail and accuracy in record-keeping.
  • Familiarity with medical terminology and healthcare procedures preferred.
  • Commitment to patient confidentiality and compliance with privacy regulations.

Responsibilities

  • Strategically schedule patients, considering chronic conditions and care needs.
  • Book patient appointments, including medical exams, Annual Wellness Visits, screenings, immunizations, tests, and follow-ups.
  • Reschedule patient visits that conflict with provider calendar blocks.
  • Collaborate with patients, healthcare providers, and staff to maintain a seamless scheduling process.
  • Maintain accurate and up-to-date appointment calendars, accounting for provider availability and patient preferences.
  • Communicate appointment details and instructions clearly to patients.
  • Verify patient insurance information and obtain required authorizations for services.
  • Resolve scheduling-related issues with professionalism and empathy.
  • Partner with administrative staff to support patient flow and optimize clinic operations.
  • Uphold patient confidentiality and adhere to HIPAA regulations.
  • Assist in managing incoming phone calls and directing them to the appropriate departments.
  • Utilize scheduling software and electronic health record (EHR) systems efficiently.
  • Support the Call Center by assisting with incoming patient calls when provider schedules reach capacity.
