About The Position

Pacific Maritime Group is hiring for a Sales Operations Coordinator to be responsible for supporting the sales-to-billing workflow for the San Diego office, ensuring a seamless customer experience, and contributing to the growth of our business. The position serves as the central point for converting approved quotes into Sales Orders, confirming customer funding through receipt of Purchase Orders, and tracking project schedule changes in Salesforce. The ideal candidate will be proficient in Microsoft Office, Google Suite, and Salesforce, possess excellent communication skills, have a strong understanding of administrative tasks and a basic understanding of the maritime industry.

Requirements

  • Associate degree or Equivalent Combination of Relevant Education & Experience.

Responsibilities

  • Generate Sales Orders from approved Quotes in Salesforce.
  • Track receipt of incoming customer Purchase Orders (POs) and confirm project funding before work is scheduled or initiated.
  • Track customer PO line items to ensure available funding for ongoing and upcoming work.
  • Ensure incoming POs match their corresponding jobs and billing stages.
  • Monitor and update project start dates and schedule changes in Salesforce, and communicate revisions to project managers and the sales team.
  • Communicate and work closely with project managers and the sales team to confirm available funding and avoid overbilling or exceeding Purchase Order limits.
  • Maintain accurate and up-to-date job information and documentation in Salesforce.
  • Compile, organize, and analyze vessel, crane, and project data in Excel and Salesforce to support reporting and operations oversight.
  • Collect daily vessel and crane logs from Captains and Barge Captains (centralized location).
  • Catalog daily logs and allocate logs to their jobs.
  • Enter vessel movement data into the Vessel Operations Report (VOR) for monthly submittal to USACE (U.S. Army Corps of Engineers).
  • Review and analyze the Plan of the Day (POD) and daily logs to reconcile operations with Sales Orders and job quotes.
  • Other duties as assigned.
