About The Position

Hyatt Vacation Ownership is seeking a Sales Front Desk Specialist for the Northstar Lodge. This role involves greeting guests, ensuring their comfort, and managing the flow of sales presentations. The specialist will assign guests to Sales Executives, track and update reports, award premiums to guests after presentations, and maintain the cleanliness and stock of gallery common areas. Responsibilities also include managing direct tour and sales wave availability, booking, rescheduling, and canceling tours. The role involves reconciling leads, communicating tour availability to field staff, and contacting preview package customers via telephone to confirm details and set expectations. Additionally, the specialist will provide personal planning services, cross-reference information in multiple systems, and report any accidents or unsafe conditions. Adherence to company policies, maintaining a professional appearance, protecting company assets, and providing excellent guest service are crucial. This includes welcoming guests, anticipating needs, using clear and professional language, answering telephones appropriately, developing positive working relationships, and complying with quality assurance standards.

Responsibilities

  • Meet and greet guests arriving for sales presentations or visiting the sales gallery.
  • Ensure guests are comfortable and offer refreshments.
  • Assign guests to Sales Executives and track line rotation.
  • Award premiums to guests upon completion of sales presentations and track delivery.
  • Maintain neatness, cleanliness, and stock of common areas in the gallery.
  • Manage input and management of all direct tours and sales wave availability, including new bookings, reschedules, and cancellations.
  • Reconcile package and direct tour leads in the computer system.
  • Communicate updated tour availability to Sales Front Desk, Marketing Executives, and/or Tour Brokers.
  • Contact preview package customers via telephone to confirm arrival dates and set expectations for their visit.
  • Provide personal planning services, such as arranging dining reservations, golf tee times, and activities.
  • Cross-reference information and reservations in multiple computer systems.
  • Report accidents, injuries, and unsafe work conditions to the manager.
  • Follow all company policies and procedures.
  • Ensure uniform and personal appearance are clean and professional.
  • Maintain confidentiality of proprietary information.
  • Protect company assets.
  • Welcome and acknowledge all guests according to company standards.
