Job Duck is hiring a driven and client-focused Intake Specialist to serve as the first point of contact for prospective legal clients. In this role, you will manage inbound inquiries, guide high-potential prospects through the intake process, and convert qualified leads into scheduled attorney consultations. You will balance empathy and professionalism with a strong sales mindset, ensuring every interaction is responsive, structured, and conversion-focused. This position plays a key role in delivering an exceptional client experience while supporting firm growth through consistent follow-up and accurate intake management. Requirements

English proficiency required
Sales-driven legal intake or client-facing experience required
High-volume inbound and outbound communication environment
HubSpot CRM
Email and calendar management tools
VoIP or call management systems

Responsibilities

Deliver a professional and seamless intake experience aligned with brand standards
Ensure a smooth handoff from intake to the legal team
Schedule consultations between prospective clients and attorneys
Follow up consistently with prospects to convert consultations into retained clients
Assess and qualify leads based on defined criteria and urgency
Conduct initial intake conversations using a sales-oriented approach
Answer inbound calls, emails, and digital inquiries from prospective clients
Draft and send intake and follow-up email communications
Track communication history, lead status, and conversion stages
Maintain accurate and up-to-date lead and client records in HubSpot CRM
Manage calendars and coordinate availability for intake calls and consultations
