About The Position

The Sales Coordinator assists the Director of Sales and Sales Managers in performing a wide range of complex and confidential administrative duties to support the sales team. This role serves as the first point of contact for guests and clients, answers phones professionally, coordinates and organizes the sales office, and ensures timely and accurate logging of sales activities. The position also involves coordinating and implementing new procedures, acting as a liaison between the hotel and program providers, creating and maintaining client databases in Delphi, preparing memorandums, and assisting with the submission of contracts and proposals. Additionally, the Sales Coordinator orders office supplies, maintains inventory, effectively utilizes office systems (Delphi, Microsoft Word, and Excel), participates in the safety program, and organizes administrative systems and procedures to support the Sales team.

Requirements

  • At least 1-2 years of relevant experience and/or training. A combination of experience, education, and/or training may be substituted for either requirement.
  • Previous similar position in a hotel, or similar business entity preferred.
  • Availability to work on weekends and holidays is required.
  • Ability to maintain a friendly, team-oriented, positive attitude and a professional appearance at all times.
  • Ability to stand, kneel, squat for prolonged periods of time, up to and including, the entire shift and lift up to 25 lbs.

Responsibilities

  • Serve as the first point of contact for guests and clients.
  • Answer phone efficiently and professionally.
  • Coordinate and organize the sales office and supplies.
  • Ensure that all sales activities are logged in a timely and accurate manner.
  • Coordinate and implement new procedures and act as a supporting contact between hotel and program provider.
  • Create and maintain client database in Delphi.
  • Prepare memorandums and assist with timely submission of contracts and proposals.
  • Order office supplies and maintain an inventory of supplies and sales collateral.
  • Effectively utilize office systems (Delphi, Microsoft Word, and Excel).
  • Participate in the safety program and assist in keeping working area and property safe and productive.
  • Organize and implement administrative systems & procedures, and perform necessary support duties for the Sales team.
  • Perform additional duties and responsibilities as directed by the leadership team.
