Requirements

  • Some College plus 1-2 years sales or catering related experience, or equivalent combination of education and experience.
  • Knowledge of hotel and food & beverage operations preferred.
  • Must speak fluent English.
  • Frequently standing up or moving within and outside of the facility.
  • Carrying or lifting items weighing up to 25 pounds.
  • Handling objects.
  • Bending, stooping, kneeling.
  • Communication skills are utilized a significant amount of time when interacting with others; demonstrated ability to interact with guests, employees and third parties that reflects highly on the hotel, the brand and the Company.
  • Reading and writing abilities are utilized often when completing paperwork and management reports, interpreting results, giving and receiving instructions, and training.
  • Mathematical skills, including basic math, budgeting, profit/loss concepts, percentages, and variances are utilized frequently.
  • Problem solving, reasoning, motivating, organizational and training abilities are used often.

Responsibilities

  • Respond to client calls and special requests, obtaining final details, dates, times, and hotel room and meeting room requirements.
  • Regularly follow-up with clients and maintain accurate and updated information.
  • Copy and deliver deposit checks to the Accounting Department.
  • Mail departmental correspondence.
  • Check assigned managers' mailboxes.
  • Take accurate messages and relay information.
  • Provide daily administrative support with a strong emphasis on typing internal BEO’s, proposals, compiling and distributing reports.
  • Ensure daily BEO’s are distributed promptly and accurately to appropriate Departments.
  • Handle all aspects of special requests for function events processed through the Catering Department.
  • Handle all telephone and email contacts in a professional and timely manner on behalf and in concert with the catering associates.
  • Maintain client files and update information daily in accordance with established departmental policies and procedures.
  • Promote teamwork and quality service through daily communication and coordination with other departments.
  • Represent the hotel with a positive attitude and professional attire.
  • Follow sustainability guidelines and practices related to IHG and InterContinental Boston sustainability programs.
  • Carry out any other duties which fall within the broad spirit, scope and purpose of this job description and which are commensurate with the role.
  • Practice, manage, and promote the company’s values so that it becomes an intricate part of the everyday operation.
