About The Position

We are seeking a highly organized and customer-focused Sales & Customer Support Coordinator to provide administrative and operational support to our Sales and Customer Service teams. This role plays a critical part in ensuring a seamless customer experience by managing order processing, maintaining records, coordinating communications, and supporting day-to-day sales activities. Requirements

  • Minimum 2 years of experience in customer service, sales support, administrative support, or a related role.
  • Experience with order entry, data entry, and customer account management.
  • Strong customer service mindset with excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Strong organizational, problem-solving, and time-management skills.
  • Ability to work independently and collaboratively within a team environment.
  • High level of professionalism and discretion when handling confidential information.

Nice To Haves

  • Experience working in a manufacturing or industrial environment.

Responsibilities

  • Serve as the first point of contact for incoming calls, visitors, customers, and vendors, providing professional and friendly service.
  • Create, edit, and distribute business documents, reports, presentations, spreadsheets, and correspondence for the Sales and Customer Service teams.
  • Maintain accurate electronic and physical filing systems to support efficient record management and retrieval.
  • Coordinate calendars, meetings, appointments, and conference calls.
  • Assist with travel arrangements and expense reporting as needed.
  • Monitor and replenish office supplies, forms, and departmental materials.
  • Prepare customer quotes, sales acknowledgments, proposals, and other sales-related documentation.
  • Enter, maintain, and update customer orders within the ERP/MRP system to ensure timely and accurate processing.
  • Manage customer accounts, pricing information, and sales records.
  • Generate reports and support tracking of sales performance and customer service activity.
  • Coordinate distribution of product information, catalogs, and marketing materials.
  • Provide administrative support related to customer orders, sales transactions, contracts, and supporting documentation.
  • Ensure documents and records are complete, accurate, and maintained according to company standards.
  • Support document retention initiatives and compliance-related recordkeeping practices.
  • Collaborate with customers and internal teams to ensure effective communication and issue resolution.
  • Partner with departments including Production, Purchasing, Shipping, Quality, Engineering, Accounting, Customer Service, and Sales to support business operations.
  • Assist with special projects and other duties as assigned.
