About The Position

Assists sales and marketing management in growing profitable sales by effectively coordinating projects for marketing, raw material inventory analysis, and customer support.

Requirements

  • Bachelor’s degree preferred. At least two years of college or relevant technical education required.
  • Project coordination experience is preferred.
  • Experience in medical manufacturing, industrial, military or construction industries is preferred.
  • Some supervisory experience is also preferred, but not required.
  • Knowledge of medical industry, regulations, and products, preferred, but not required.
  • Proficient in use of Microsoft Office Suite, including PowerPoint, Word/Windows, Excel, Outlook, Teams.
  • Utilization of Zoom and/or other video conference applications.
  • Knowledge and experience with ERP systems desired.
  • Reads and understand blueprints, drawings, and other specification documents for products requiring our involvement.
  • Proactive, resourceful, and detail oriented.
  • Highly organized and prioritize well.
  • Either formal training in Project Management or practical experience.
  • Confident in executing decisions and providing leadership and direction on projects.
  • Willing to work extended hours as needed and possess ability to see project through to completion.
  • Good math skills.

Responsibilities

  • Support execution of clearly defined marketing initiatives that are already planned or in progress—focused on content execution, CRM hygiene, and reporting support.
  • Support ongoing content execution by assisting with social media scheduling using pre-approved content calendars (3 posts per week), uploading blog posts or podcast-related assets prepared by Marketing leadership.
  • Assist with CRM and HubSpot support tasks, such as tagging contacts and companies correctly, uploading contact lists from approved sources, and verifying RFQ and campaign source data consistency.
  • Help compile basic marketing performance reports, including web traffic trends, social engagement metrics, and RFQ volumes tied to campaigns.
  • Provide support for campaign execution initiatives already underway, including podcast promotion coordination, internal brand initiatives (facility signage, content distribution), and Focus 2030 lead nurture sequences (administrative setup only).
  • Assist the Marketing Manager with website and CMS-related housekeeping tasks as part of the HubSpot ecosystem (content uploads, link validation, form testing—no site architecture decisions).
  • Provide basic operational support that reduces administrative load without assuming ownership of customer accounts.
  • Assist Customer Account Specialists with order entry support, including validating purchase order completeness and ensuring pricing, part numbers, and quantities match approved quotes.
  • Enter or stage sales orders in ERP/CRM systems under supervision, following documented procedures.
  • Help maintain order status trackers and internal visibility tools for Sales and Operations.
  • Support internal communication by preparing draft order confirmations or internal status summaries for review before release.
  • Support ongoing raw material clean‑up and audit readiness work by performing data preparation, categorization, and visibility tasks—not negotiations or final decisions.
  • Assist Supply Chain and Sales by reviewing inventory aging reports and helping categorize raw materials into predefined buckets (e.g., slow‑moving, obsolete, pending disposition).
  • Compile lists of raw material SKUs that meet predefined value thresholds (e.g., $500+ total value) for internal review.
  • Cross‑reference raw materials against finished goods status (active, obsolete, pending obsolete) using existing ERP and Excel reports.
  • Help prepare internal summary spreadsheets for Supply Chain and Sales to use in customer follow‑up or audit discussions (no direct customer contact). Flag inconsistencies such as materials not tied to BOMs or inactive programs for further review by Supply Chain leadership.
