Requirements

  • Bachelor’s degree or equivalent experience
  • 1-3 years in customer service or sales
  • Proficient in Microsoft Office
  • Working knowledge of Quickbooks
  • Highly organized with a sharp attention to detail in all correspondence and documentation
  • Able to juggle multiple priorities in a deadline-driven environment.
  • A self-starter who takes initiative and is eager to grow into higher level responsibilities
  • Comfortable handling confidential information with discretion

Responsibilities

  • Monitor and manage incoming sales inquiries, ensuring prompt tracking from first contact through close
  • Generate and assign Project Numbers and maintain an accurate, up-to-date Sales Pipeline/CRM
  • Create timely, accurate estimates, invoices, Work Orders, and change orders for the sales team
  • Collaborate with Sales Account Managers to assemble Project Briefs and coordinate department communication
  • Manage recurring billing cycle orders, open project tracking, and expired estimate follow-ups
  • Organize project folders, store signed contracts, and maintain all sales-related documentation
  • Generate Purchase Orders for sales department services and keep the PO Registry current
  • Support the Project Closure process by collecting debrief reports from all departments
  • Provide general administrative support including scheduling and calendar management
  • Other duties as assigned
