Requirements

  • Bachelor’s degree preferred.
  • Associate degree or equivalent administrative experience will also be considered.
  • Minimum two (2) years of experience in an administrative, customer service, sales support, or project coordination role.
  • Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.
  • Excellent customer service and relationship management skills.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office, particularly Excel, Outlook, and PowerPoint.
  • Experience working with ERP, CRM, or project management systems preferred.
  • Strong attention to detail and ability to meet deadlines in a fast-paced environment.
  • Self-starter with excellent problem-solving skills and the ability to work independently.
  • Collaborative team player with a proactive, customer-focused mindset.

Responsibilities

  • Support an Account Manager by coordinating multiple fragrance development projects from initiation through completion.
  • Enter and maintain projects in Givaudan's project management systems, ensuring information remains accurate and up to date.
  • Coordinate project timelines, customer requests, and shipment of fragrance samples.
  • Manage pricing, stability, regulatory documentation, and safety document requests for customers.
  • Coordinate internally on new business wins, working closely with Pricing, Regulatory, Stability, Vendor Management, and other business functions.
  • Source market products and gather business, technical, and creative information to support customer projects.
  • Respond promptly to internal and external customer inquiries while providing professional, solutions-oriented service.
  • Maintain ongoing communication with customers and internal stakeholders regarding project status, timelines, and priorities.
  • Coordinate activities across Evaluation, Marketing, Perfumery, Labs, Customer Service, Planning, Production, Purchasing, Operations, Distribution, QC, and other departments as needed.
  • Ensure project documentation, records, and customer information remain organized and current.
  • Support continuous improvement initiatives that enhance customer experience and operational efficiency.
