About The Position

Claffey Pools is one of North Texas' premier custom pool and outdoor living builders, creating award-winning backyard environments for over 35 years. We are seeking a highly organized and customer-focused Sales Support Administrator to join our growing team and support our Design Consultants throughout the sales process. The Sales Support Administrator plays a critical role in supporting our sales team and delivering an exceptional customer experience. This position serves as a liaison between customers, Design Consultants, and internal departments while ensuring the sales process runs smoothly from initial inquiry through project handoff.

Requirements

  • 2+ years of administrative, sales support, customer service, or office coordination experience preferred.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Proficiency with Microsoft Office Suite.
  • Professional, positive, and customer-focused attitude.
  • Ability to work effectively in a fast-paced environment.
  • Detail-oriented and highly organized.
  • Strong sense of urgency and follow-through.
  • Team player with a willingness to assist wherever needed.
  • Excellent customer service and relationship-building skills.

Nice To Haves

  • Experience with Microsoft Dynamics Business Central, CRM systems, or ERP software is a plus.

Responsibilities

  • Answer incoming customer inquiries via phone, email, and online communication platforms.
  • Schedule appointments and maintain Design Consultant calendars.
  • Create and maintain customer files and sales documentation.
  • Enter and update customer information in Microsoft Dynamics Business Central.
  • Assist Design Consultants with appointment coordination, follow-up activities, and customer communications.
  • Support the sales process by preparing project documentation and sales packets.
  • Track and monitor incomplete sales files to ensure timely completion.
  • Welcome and assist walk-in customers.
  • Coordinate customer pool tours and project showcases.
  • Process sold project documentation and customer correspondence.
  • Provide backup reception coverage as needed.
  • Maintain organized records and assist with general office administration.
