About The Position

The Sale Coordinator is an integral role in the auction process, supporting the Specialists in the successful delivery of auctions as well as the day to day running of the department. The role involves managing clients and their property throughout the sale cycle, acting as a primary contact for external stakeholders, and coordinating the movement of property. This position also supports clients with after-sale inquiries, assists with preparing valuations and condition reports, and contributes to day-to-day auction activities, including responding to client inquiries, bidding, and event management.

Requirements

  • Experienced user of Auctioneer 3, the bespoke Auction Management System.
  • Strong time management and organizational ability.
  • Excellent communication in all modes with both internal and external stakeholders.
  • Ability to manage workflow and priorities in a fast-moving environment.
  • A flexible approach and a willingness to support departments and teams outside of core responsibilities.
  • 1-2 years in an administrative position (auction background not required).

Responsibilities

  • Manage clients and their property throughout the sale cycle, including receipting property into Auctioneer 3 (A3), generating and issuing consignment contracts, requesting and uploading client details, and payment management.
  • Serve as the Department’s primary contact for external stakeholders such as clients, restorers, and suppliers, escalating issues to Specialists when necessary.
  • Coordinate the movement of property throughout the sale cycle, collaborating with various departments, regional offices, Operations & Photography to ensure efficient and compliant stock transfer.
  • Support clients with after-sale inquiries, including the resolution of payments and arranging shipping quotes for purchased and unsold lots, in conjunction with Client Services and Operations.
  • Assist departments with preparing valuations, condition reports, and condition photography as required.
  • Support day-to-day auction activities to ensure departments run smoothly and effectively.
  • Respond to client inquiries pre- and post-sale, assist with bidding, and support event management.
  • Perform other duties as assigned by the Manager.
