About The Position

TransX is seeking a detail-oriented and organized Safety & Compliance Administrator to join our team in Winnipeg. This role is ideal for an administrative professional with a strong analytical mindset, excellent time-management skills, and a commitment to supporting safe, compliant, and efficient transportation operations across Canada and the United States. The Safety & Compliance Administrator is responsible for managing driver qualification files, monitoring compliance expirations, coordinating drug and alcohol testing, and supporting vital safety documentation in line with DOT, FMCSA, and Canadian safety standards. This position plays a key role in ensuring regulatory compliance, maintaining audit preparedness, and providing exceptional administrative support to our drivers, managers, and compliance staff.

Requirements

  • High School diploma (required).
  • Up to six (6) months of administrative experience.
  • Strong verbal and written communication skills with the ability to collaborate effectively with operations staff, drivers, and safety managers.
  • Detail-oriented and highly analytical mindset with an emphasis on record accuracy.
  • Exceptional organization and time-management skills.
  • Familiarity with digital tools, including Microsoft Excel, Word, and specialized compliance tracking systems.
  • Solid foundational knowledge of driver file requirements in Canada and the USA, drug and alcohol compliance processes (including Clearinghouse queries), and relevant provincial/federal legislation.
  • Discretion and professionalism, with a proven ability to keep sensitive personnel information completely confidential.

Nice To Haves

  • Prior experience within the transportation industry is considered an asset.
  • Knowledge of Hours of Service (HOS) regulations is considered an asset.
  • A valid Class 1 driver’s license with an air brake endorsement is an asset.
  • First Aid training and/or Forklift certification/training are considered assets.

Responsibilities

  • Maintain and update driver qualification files with required documents, including verifying licenses, passports, visas, work permits, PR cards, and TDG certifications.
  • File, scan, and index documentation accurately within the File Maintenance and Synergize systems.
  • Review monthly expiration reports and actively follow up with drivers regarding upcoming renewals.
  • Generate and distribute weekly Speedgauge and Impirica reports, issue Notices of Non-compliance, and log completed training sessions into driver records.
  • Manage weekly random drug and alcohol testing lists with third-party vendors, schedule driver appointments, and update the Veriport system in full compliance with DOT requirements.
  • Track driver absences and validate Return-to-Work (RTW) compliance requirements before drivers resume operational duties.
  • Log road test results on the shared tracking spreadsheet and manage the TLE Truck spreadsheet for Eastern region terminals.
  • Coordinate with external agencies (such as Service Ontario) to obtain driver abstracts, and handle inquiries or complaints from the general public as required.
  • Prepare comprehensive new driver packages, including fuel cards, EZPASS, RFID, and required safety gear.
  • Welcome incoming drivers, explain company safety procedures, and assist them with obtaining ISAAC system access.
  • Order and maintain inventory for vital safety supplies, driver kits, safety vests, and compliance binders.
  • Update and distribute essential operational documents, including permits, transponders, stickers, IFTA stickers, and registrations.
  • Maintain internal compliance communication by updating Safety Board postings and Health & Safety committee records.
