About The Position

Titanium Transportation Group is seeking a detail-oriented and proactive Safety & Compliance Administrator to support our Safety and Compliance team. This role is responsible for maintaining regulatory compliance, supporting fleet operations, and ensuring accurate, up-to-date documentation across multiple systems. The successful candidate will collaborate with Safety, Compliance, Operations, and Finance teams to support daily administrative activities while maintaining data integrity and meeting regulatory requirements.

Requirements

  • 2+ years of administrative experience in safety, compliance, transportation, or a related field
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Effective communication and problem-solving skills
  • Proficiency in Microsoft Excel and MS Office

Nice To Haves

  • Experience with transportation management systems (e.g., TMW) is an asset

Responsibilities

  • Maintain and update driver and equipment records in TMW and compliance portals
  • Administer fuel cards, including issuance, driver updates, and transaction monitoring
  • Investigate flagged fuel transactions and follow up with drivers as needed
  • Update and monitor accessories and permits (e.g., HUT, DTOPS, EZ Pass, KY) across systems
  • Support operator onboarding and offboarding by updating all required platforms
  • Coordinate distribution of permits (e.g., NY, NM) to terminals and drivers
  • Order Certificates of Insurance and Letters of Experience for customers, drivers, and owner-operators
  • Maintain Authority Binders and ensure documentation is current and audit-ready
  • Manage driver documentation and ensure ongoing compliance with company standards
  • Coordinate fleet plate renewals, including emissions documentation and renewal packages
  • Track plate replacements and ownership transfers
  • Support compliance updates related to power units and equipment changes
  • Provide administrative support to the Safety team and assist drivers with general inquiries (e.g., PAPS/PARS, training access)
  • Maintain training and certification records in TMW and Synergize
  • Support driver license verification processes
  • Maintain accurate and up-to-date compliance records across systems
  • Support weekly and monthly reporting requirements
  • Monitor document completion, expirations, and missing records, ensuring timely follow-up
  • Assist with internal audits and data validation
