About The Position

The Safety Administrator provides administrative and operational support to the Safety Department and field operations. This position is responsible for maintaining employee safety records, coordinating DISA compliance, managing site-specific requirements, scheduling required training and testing, and ensuring employees remain eligible to access assigned client facilities and job sites. The ideal candidate is highly organized, detail-oriented, able to manage multiple deadlines, and experienced in supporting safety and compliance functions within an industrial, construction, petrochemical, inspection, or related environment.

Requirements

  • Minimum of three years of experience in a safety administration, safety coordination, compliance, or similar role.
  • Hands-on DISA experience is required.
  • Experience managing site-specific orientations, facility-access requirements, employee badging, and contractor-compliance documentation.
  • Working knowledge of OSHA requirements and general industrial safety practices.
  • Experience maintaining training records, certifications, drug-testing records, and compliance documentation.
  • Strong computer skills, including proficiency with Microsoft Outlook, Word, Excel, and electronic recordkeeping systems.
  • Ability to prioritize multiple assignments and meet time-sensitive deadlines.
  • Strong attention to detail and commitment to maintaining accurate records.
  • Effective written and verbal communication skills.
  • Ability to handle confidential and sensitive information appropriately.

Nice To Haves

  • Experience in the oil and gas, petrochemical, construction, NDT/inspection, mechanical, or industrial services industry.
  • Experience with ISNetworld, Veriforce, Avetta, PEC, NCCER, TWIC, or similar systems and credentials.
  • Experience supporting multiple locations, projects, or client sites.

Responsibilities

  • Administer and maintain employee information within DISA and other applicable contractor-compliance systems.
  • Coordinate drug and alcohol testing, background screening, random testing, and other client-required compliance activities.
  • Review DISA status and promptly address employee eligibility issues, missing requirements, or site-access restrictions.
  • Maintain accurate records of employee safety training, certifications, licenses, medical clearances, fit testing, and expiration dates.
  • Coordinate site-specific orientations, training, badging, and access requirements for client facilities and job sites.
  • Verify that employees have completed all required client and site-specific requirements before deployment.
  • Track expiring credentials and notify employees and management in advance of renewal deadlines.
  • Assist with employee onboarding by coordinating safety orientation, required documentation, training, and testing.
  • Maintain employee files and safety records in accordance with company policies, client requirements, and applicable regulations.
  • Enter and update employee information in client portals and contractor-management systems such as ISNetworld, Veriforce, Avetta, or similar platforms.
  • Coordinate with project managers, supervisors, employees, clients, clinics, and third-party vendors to resolve safety and compliance matters.
  • Support internal and external safety audits by gathering records and responding to documentation requests.
  • Maintain confidentiality of employee medical, testing, and personal information.
  • Perform additional safety-related and administrative duties as assigned.
