About The Position

ACLD was founded in 1957 by a group of families seeking services for their children with developmental disabilities. Today, ACLD is a prominent not-for-profit organization with over 1200 employees and more than 70 program sites across Nassau and Suffolk counties. In this role, the Residential Timekeeping Specialist will be responsible for ensuring that all Residential Staff comply with ACLD's Payroll requirements through the electronic timekeeping system. This position will provide support to all Residential supervisory staff in correcting, approving, and submitting electronic timecards. The specialist will also serve as a liaison with the Payroll Department to guarantee that all Residential timecards are completed and submitted accurately and on time.

Requirements

  • High School Diploma or equivalent required.
  • Two years of office experience required.
  • One year of experience working with Microsoft Excel.

Nice To Haves

  • Bachelor’s Degree preferred.
  • Knowledge of OPWDD regulations and systems preferred.
  • Knowledge of electronic timekeeping system ADP Workforce Now preferred.

Responsibilities

  • Ensure all timecards for Residential staff are submitted to Payroll in an accurate and timely manner.
  • Audit staff timecards for all Residential programs on a daily basis, ensuring accurate time is reflected, missed punches are reconciled, and proper labor category coding is applied.
  • Review and correct all “Must Fix” issues reported via the timekeeping system daily.
  • Coordinate with Residential Managers and Administrators as needed to correct all timecards.
  • Coordinate with the Payroll Department regularly to resolve any identified errors.
  • Ensure all Transportation and/or Day Habilitation transfer punches are accurately reflected on all timecards.
  • Ensure all submitted time off requests are submitted within the proper timeframe and are allocated to the correct labor category/work rule once approved or refused.
  • Assist and educate all management-level staff on specific timekeeping rules, procedures, and monitoring techniques within the timekeeping system.
  • Audit timecards for all training conducted and ensure they are accurately reflected on employee timecards.
  • Ensure all timecards are approved by the employee and the assigned supervisor before submission to Payroll for processing.
  • Maintain collaborative relationships with other ACLD programs and departments to maximize service coordination and integration.
  • Perform other duties as assigned.
