About The Position

The Senior Property Manager is the owner's on-site representative responsible for all aspects of resident and owner relations, property/community operations and maintenance, property/community improvement, expense management, contract administration and staff supervision. In addition, the Senior Property Manager is responsible for a portfolio of properties and oversees the performance of Property Manager(s) and Community Association Manager(s).

Requirements

  • Bachelor's degree (B.A.) from four-year college or university; seven to ten years of property management experience and/or training; or equivalent combination of education and experience in property management.
  • RPA or CPM designation required or in progress.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Knowledge of Accounting Software; Internet Software; Payroll Systems; Spreadsheet Software (Excel); Word Processing Software (Word); Electronic Mail Software (Outlook).

Responsibilities

  • Represents the ownership of the property, understanding client’s objectives and desired involvement.
  • Coordinates client and resident relations, including meeting with client and resident contacts on a regular basis to establish and maintain a professional relationship.
  • Reviews and approves invoices, to include purchase orders and bid comparisons.
  • Works closely with property/community management administration professionals in the implementation of Company’s policies and procedures, Best Practices.
  • Ensures regulatory and local law compliance.
  • Reviews and approves the annual budgets for the property/community management offices and individual properties prior to submission to Chief Operating Officer for fiscal approval.
  • Reviews and edits monthly reports to clients, to include executive summary, accruals, reclasses, reforecast, and variance explanations.
  • Monitors the property/community managers’ performance relative to the related budgeted goals and objectives.
  • Supports the property/community managers in their efforts to manage operating expenses.
  • Ensures all reporting is done on a timely basis.
  • Inspects all areas of the assigned portfolio on a regular basis to ensure that each mechanical system and grounds are clean, secure, energy efficient, operating properly, and in compliance with codes and regulations.
  • Oversees proper implementation of all service contracts and is familiar with the specifications of the agreements in order to assess that all contractors are satisfying the terms of the agreements.
  • Confirms all lease terms and requirements applicable to rental properties are correctly reflected in leases and are appropriately enforced.
  • Supports the property/community managers in the assessment of potential value-added renovations and/or redevelopment.
  • Recommends appropriate value enhancement strategies as appropriate.
  • As needed, works with the Vice President of Operations in the development and execution of property/community renovation programs.
  • Ensures that appropriate fiscal controls for capital expenditure projects are followed.
  • Supports the property/community managers in the assessment of each property/community’s current position in the marketplace and in developing value enhancement strategies based upon these assessments.
  • Analyzes information on property/community values, taxes and zoning.
  • Supports the property/community managers and creative/leasing professionals in the accomplishment of their goals and objectives through the application of proven real estate expertise.
  • Provides continuing training to the property/community managers by sharing his/her real estate knowledge.
  • Supports and assists property/community managers in negotiating major service contracts and solving property/community operating issues.
  • Ensures that all property/community management offices are properly staffed and operated effectively in accordance with Company standards.
  • Conducts routine staff meetings.
  • Complete annual performance reviews.
  • Maintains emergency procedures guidelines including property/community security plan and emergency response plan
  • Must be on call 24/7 and report to property/community during emergencies that require management representation.
  • Directly manages residential property/community managers.
  • This role is responsible for the overall direction, coordination, and evaluation of all onsite staff, including the maintenance crew, front desk personnel, porters, and painters.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
