About The Position

The Relocation Coordinator is a key member of the Relocation team, responsible for overseeing daily relocation tasks and assisting residents with all required relocation activities. This role involves close communication with residents, managing third-party vendors, and data tracking. A positive, solutions-based attitude is essential. The Relocation Coordinator represents HOU at company events and contributes to the company's mission and reputation. This position is exempt from working from home.

Requirements

  • Experience in relocation services, social services, customer service, or similar fields preferred.

Responsibilities

  • Oversee and participate in surveying residents to understand their relocation needs and preferences.
  • Participate in resident and community meetings to discuss the relocation process, rights, and benefits.
  • Prepare and distribute notices to affected households regarding the relocation program, ensuring proof of receipt.
  • Provide relocation counseling and assistance in compliance with applicable regulations.
  • Coordinate information flow between HOU, Property Management, the Client, and residents.
  • Provide weekly and monthly reports to the Client, Director, and Development team.
  • Update and maintain relocation files, databases, lottery lists, and tracking reports.
  • Create agendas for weekly Relocation Meetings, take minutes, and circulate them within 48 hours.
  • Notify residents of their move dates and provide ongoing support to ensure they are prepared.
  • Check in with residents at specific intervals prior to their move date (30 days, 3 weeks, 2 weeks, 1 week, 72 hours, 48 hours, 24 hours).
  • Assist with arranging moves, including packing/unpacking, utility changes, and change of address forms.
  • Schedule, coordinate, and supervise moves and associated tasks like pest inspection and unit turnover.
  • Work with construction, property management, development, and moving contractors to ensure residents vacate units on schedule and units are secured.
  • Establish procedures for minimizing resident property damage, including inventorying furniture and documenting with photos/video.
  • Serve as the initial point of contact for resident claims of damage or loss.
  • Liaise with residents' families/friends and social services staff to ensure seamless service provision and address obstacles.
  • Represent HOU to local, state, and federal agencies, the private housing industry, and community groups.
  • Participate in weekly supervision and scheduled site meetings with the APM.
  • Ensure relocation files contain required documentation and the data tracking system is updated regularly.
  • Complete all tasks in the site work plan and perform other assigned duties.
  • Identify and respond to special needs (e.g., utility balances, credit history, criminal backgrounds) and accommodation issues (e.g., handicap-accessible units, roll-in showers).
  • Confirm that residents with accommodation needs have approved reasonable accommodation paperwork.
  • Counsel and assist households ineligible for relocation benefits due to immigration status.
  • Provide information on local childcare, transportation, social services, and amenities in new neighborhoods.
  • Assist households with school-aged children with the school transfer process.
  • Coordinate with the Section 8 Department regarding unit inspections and leasing procedures (if applicable).
  • Convene info sessions or provide information on being a good neighbor, the Section 8 process, budgeting, working with private landlords, and conducting housing searches.
  • Assist residents with good standing requirements regarding rent payment and housekeeping through workshops and referrals.
  • Pass employment criminal background screening.
