This shared position oversees the complete Assisted Living resident onboarding experience from deposit through the first 60 days after move-in (for our Vitality Living Hudson and our Vitality Living Baypoint Village communities. The Resident Relations Coordinator partners with Sales, Nursing, Operations, and Department Leaders to ensure every resident and family experiences a seamless transition, consistent communication, and exceptional hospitality. The first 30 days are the highest-touch period, followed by continued engagement through Day 60. This role supports Assisted Living residents only.

Requirements

  • Ability to manage multiple priorities across two communities.
  • High attention to detail and professionalism.

  • Experience in senior living, hospitality, admissions, healthcare, or customer service preferred.

Responsibilities

  • Assume ownership of the move-in process immediately upon receipt of deposit.
  • Coordinate all admission paperwork, assessments, Vital Connections meetings, and move-in readiness.
  • Maintain a complete move-in binder and onboarding checklist for every resident. (Vital Connections Checklist)
  • Serve as the primary liaison between Sales, Nursing, Operations, residents, and families.
  • Track all onboarding milestones and provide leadership updates.
  • Welcome visit on move-in day and daily resident check-ins.
  • Provide two proactive family touchpoints with updates.
  • Introduce each resident to 2–3 residents with similar interests.
  • Verify apartment readiness including internet, cable/TV, phone (if applicable), and maintenance items.
  • Coordinate department leader welcome visits and document all follow-up needs.
  • Conduct weekly resident check-ins and document outcomes.
  • Provide family updates as appropriate.
  • Encourage participation in activities and dining.
  • Ensure department leaders complete scheduled follow-ups.
  • Identify and resolve concerns before they escalate.
  • Conduct bi-weekly resident check-ins.
  • Continue family communication when appropriate.
  • Confirm resident engagement and satisfaction.
  • Complete a formal 60-day satisfaction review.
  • Transition resident to ongoing community engagement.
  • Maintain oversight of the onboarding process while coordinating with the Executive Director to assign department leaders to support onboarding tasks when multiple move-ins occur on the same day.
