About The Position

Responsible for maintaining the physical condition of the property to SKPM standards, overseeing all facilities services, repairs, and leasing operations. The role requires operating within established standards of safety, high-quality customer service, and efficient operations. This is a live-in position.

Requirements

  • Minimum - High school Diploma (Grade 12).
  • Ability to stand and walk for extended periods.
  • Ability to frequently stop, bend, and kneel.
  • Ability to lift and move objects weighing up to 50lbs.
  • Work performed both indoors and outdoors in a variety of environmental conditions.

Responsibilities

  • Supervising trades and suppliers, coordinating facilities services and repairs for the building and related equipment.
  • Daily updating of maintenance requests status in Property Vista.
  • Issuing Purchase Requisitions (PRs) in Property Vista for contractor scheduling upon Property Manager approval.
  • Responding to facility emergencies in a timely manner and submitting Occurrence Reports.
  • Investigating all repair requests received via Property Vista or email.
  • Ensuring the building and its environment are clean through daily walk-throughs.
  • Supervising cleaning, snow removal, and landscaping operations, assisting as needed.
  • Prioritizing and conducting minor repairs (plumbing, lighting, etc.).
  • Managing garbage, recycle, and organic bins/totes for scheduled pick-up.
  • Removing old appliances and bringing in new (spare) appliances as needed.
  • Ordering building supplies upon Property Manager approval and maintaining an organized inventory.
  • Thoroughly cleaning lobbies, laundry rooms, washrooms, hallways, staircases, elevator cabs, garbage chutes, and garbage rooms, including mopping and vacuuming.
  • Cleaning and wiping windows, doors, trims, baseboards, walls, and floors in common areas, including appliance interiors.
  • Dusting light shades, table tops, picture frames, and elevator fans in lobby areas.
  • Cleaning and polishing all stainless steel surfaces.
  • Ensuring indoor and outdoor grounds, parking areas are free of litter and pet debris, and trash cans are empty.
  • Maintaining strong tenant relationships with excellent customer service.
  • Ensuring prompt service to tenants and prospective tenants.
  • Reasonably enforcing landlord's rules and regulations.
  • Serving 24-hour notices of entry for scheduled maintenance and inspections.
  • Delivering communication, legal notices, or letters to residents.
  • Providing information about vacant suites to prospective residents and other parties.
  • Answering questions from prospective residents via phone and email in a timely, pleasant, and informative manner.
  • Scheduling appointments with prospective residents, building relationships, and showing vacant suites.
  • Filling out guest cards and daily traffic reports, reporting weekly results to the Property Manager.
  • Following up with completed guest cards for prospective tenants.
  • Promoting tenant retention by communicating effectively with existing residents and ensuring resident issues are addressed.
  • Providing prospective residents with rental application links via Property Vista.
  • Collecting First Month's rent, Home Insurance Confirmation, and signed parking/lockers forms.
  • Scheduling Tenancy Agreement signing appointments, ensuring all parties sign, and performing move-in inspections.
  • Notifying applicants of their application status within two business days of completion.
  • Organizing and administering the residential referral program.
  • Recording leased units, including vacate date, date leased, and move-in date.
  • Regularly inspecting vacant units to confirm they are clean and ready.
  • Conducting weekly rent arrears collection via phone, email, and door-knocking.
  • Depositing rent cheques to the bank on the same day (if applicable outside GTA area).
  • Ensuring all life safety systems are inspected, functional, and checklists are completed.
  • Inspecting mechanical rooms daily and completing checklists.
  • Identifying, reporting, and scheduling rectification of safety hazards within the facility and grounds.
  • Inspecting sidewalks and driveways during winter, correcting hazardous conditions, and performing daily snow logs.
  • Working in close cooperation with tenants, vendors, contractors, and Manager, Capital Projects.
  • Being on-call rotation for buildings within the area and responding to emergencies within 15 minutes.
  • Performing other duties as assigned.
