About The Position

Responsible for maintaining the physical condition of the property to SKPM standards, overseeing all facilities services, repairs, and leasing operations. The role requires operating within established standards of safety, high-quality customer service, and efficient operations.

Requirements

  • Minimum - High school Diploma (Grade 12).
  • Preference: 3 to 5 years of technical and practical experience.
  • Preference: Previous experience as Resident Manager.

Responsibilities

  • Supervising trades and suppliers, coordinating all facilities services and repairs for the building and related equipment.
  • Daily updating of maintenance requests status in Property Vista.
  • Issuing Purchase Requisitions (PRs) in Property Vista prior to scheduling contractors, upon Property Manager approval.
  • Responding to all facility emergencies in a timely manner and submitting Occurrence Reports on the same date if necessary.
  • Investigating all requests for repairs in a timely manner upon receiving a written request via Property Vista or email.
  • Ensuring the building and its environment are clean by completing daily walk-throughs.
  • Supervising cleaning, snow removal, and landscaping operations, assisting as needed.
  • Prioritizing and conducting minor repairs (plumbing, lighting, etc.) as directed.
  • Pulling out garbage/recycle/organic bins/totes to the designated area for pick up as per schedule.
  • Removing old appliances and bringing in new (spare) appliances as needed and directed.
  • Ordering building supplies upon Property Manager approval and maintaining an organized inventory.
  • Thoroughly cleaning lobbies, laundry rooms, washrooms, hallways, staircases, elevator cabs, garbage chutes, and garbage rooms, including mopping and vacuuming all floors, runners, and furniture using designated chemicals, supplies, and equipment.
  • Cleaning and wiping all windows, doors, trims, baseboards, walls, and floors in common areas, including the tops and interiors of washers and dryers.
  • Dusting all lobby area light shades, table tops, picture frames, and elevator fans.
  • Cleaning and polishing all stainless steel.
  • Ensuring all outdoor grounds are free of litter and pet debris, and all trash/garbage cans are empty.
  • Ensuring indoor and outdoor parking areas are free of litter and pet debris, and all trash/garbage cans are empty.
  • Maintaining strong relationships with tenants reflecting admirable customer service.
  • Ensuring prompt service to tenants and prospective tenants.
  • Reasonably enforcing the landlord’s rules and regulations.
  • Serving 24 HRS notice of entry in a timely manner for all scheduled maintenance and inspections.
  • Delivering any communication, legal notice, or letter to residents.
  • Providing information about vacant suites to prospective residents and other relevant parties.
  • Answering questions from prospective residents in person, by phone, and email in a timely, pleasant, and informative manner.
  • Scheduling appointments with prospective residents, building relationships, and showing vacant suites as directed by the Leasing Agent and Property Manager.
  • Filling out guest cards and daily traffic reports, reporting final results weekly to the Property Manager.
  • Following up with completed guest cards for prospective tenants.
  • Promoting tenant retention by communicating effectively with existing residents and ensuring, in cooperation with the Property Management team, that resident issues are addressed.
  • Providing prospective residents with the rental application link via Property Vista.
  • Collecting the First Month's rent, Home Insurance Confirmation, and signed parking/lockers forms if applicable.
  • Scheduling Tenancy Agreement signing appointments, having the Tenancy Agreement signed by all relevant parties, and performing move-in inspections.
  • Notifying applicants of their application status within two business days of completion.
  • Organizing and administering the residential referral program.
  • Recording all leased units, including vacate date, date leased, and move-in date (Incentive Program).
  • Regularly inspecting all vacant units to confirm they are clean and ready as directed by the Property Manager.
  • Weekly rent arrears collection, including phone calls, emails, and door knocking as directed.
  • Same-day rent cheque deposits to the bank (applicable outside of GTA area).
  • Ensuring all life safety systems are inspected as scheduled, are in working order, and that daily/monthly checklists are completed.
  • Inspecting all mechanical rooms (boiler, elevator, electrical rooms, etc.) on a daily basis and completing daily/monthly checklists.
  • Identifying, reporting, and scheduling rectification of any safety hazard issues within the facility and grounds.
  • Inspecting all sidewalks and driveways during the winter season, correcting any hazardous conditions, and performing daily snow logs.
  • Working in close cooperation with tenants, vendors, contractors, and the Manager, Capital Projects.
  • Participating in on-call rotation for buildings within the area as per schedule and responding to emergencies within a maximum of 15 minutes.
  • Performing other duties as assigned.
