About The Position

The Residence Life Office Assistant (OA) serves as a primary point of contact for students, visitors, and university personnel entering the Residence Life Office. This role provides essential administrative support, customer service, and operational assistance to maintain a welcoming, efficient, and well-organized office environment. This position requires professionalism, reliability, sound judgment, and the ability to respond calmly and appropriately in a variety of situations.

Requirements

  • Maintain an overall Worcester State University GPA of 2.0 or higher.
  • Be in good judicial standing with both the Office of Residence Life and Worcester State University.
  • Strong verbal and written communication skills with a customer-first mindset.
  • Experience with Microsoft Office, Google Workspace, and comfortable learning web-based systems.
  • High level of reliability, attention to detail, and sound judgment during sensitive or urgent situations.
  • Ability to quickly learn and apply Residence Hall Handbook policies and procedures.

Responsibilities

  • Welcome students, family members, faculty, and visitors with a friendly, professional approach.
  • Answer incoming calls, address inquiries, monitor voicemails, and route messages efficiently.
  • Provide accurate information regarding residence hall policies or direct inquiries to appropriate university departments.
  • Sort and distribute incoming mail and packages for office staff and residents.
  • Maintain a tidy, professional, and well-stocked office space.
  • Distribute supplies (e.g., trash bags, toilet paper, carts) to residents as needed.
  • Assist residents with temporary key or access procedures during lockouts following established protocols.
  • Inspect public areas for maintenance needs and submit work orders promptly.
  • Assist with conference setup and breakdown, including resident check-in/check-out, signage, trash removal, and linen handling.
  • Collaborate with Residence Life professional staff, student staff, and University Police during emergency or crisis situations.
  • Report any damage, theft, or urgent incidents immediately.
  • Maintain strict punctuality for all assigned shifts and conduct thorough handovers to incoming staff, updating them on key activity, incidents, or pending tasks.
  • Work effectively both independently and as part of a team, utilizing MS Office, Google Workspace, and university-specific software applications.
