About The Position

The Holden Comprehensive Cancer Center (HCCC) at the University of Iowa is seeking a Research Support Manager to oversee the development, preparation, submission, and post-award administration of grants and contracts. This role involves coordinating grant preparation, ensuring compliance with terms, developing budgets, and managing financial statements. The position provides administrative support for the P30 Cancer Center Support Grant (CCSG), a SPORE grant, and multi-PI proposals, requiring collaboration across multiple departments and institutions. The CCSG supports research programs, a clinical trials office, and core facilities, while the P50 NET SPORE includes multiple projects, cores, and award programs. This position is eligible for a hybrid work arrangement after an initial 6-month onsite training period, with the majority of work on the UI Health Care campus. Work arrangements are reviewed annually and must comply with remote work policies.

Requirements

  • Bachelor’s Degree with experience in research administration or an equivalent combination of education and experience.
  • Reasonable (3-5 years) administrative, supervisory and/or program experience.
  • Reasonable (3-5 years) experience working with administrative budgets.
  • Experience with grants management and database systems.
  • Excellent written, verbal and interpersonal communication skills.
  • Excellent organizational skills.
  • Proficient in computer software applications.
  • Overnight and weekend travel.

Responsibilities

  • Grant Exploration and Development: Respond to faculty inquiries, make recommendations on economic feasibility, establish timelines, monitor proposal development, develop budgets, comply with deadlines, obtain institutional approvals, route proposals, and train users on electronic submission systems.
  • Identify and evaluate additional funding sources, assist PIs and staff with guidelines and grant preparation, serve as HCCC liaison to external agencies, and develop knowledge of cancer research funding opportunities.
  • Assist investigators in finding and obtaining external and internal research funding.
  • Perform routine review of grant funding agency regulations and updates.
  • Coordinate grant submissions for faculty, staff, and students.
  • Participate in grant proposal development, including budget preparation.
  • Review and respond to internal requests for information, ensuring accuracy and completeness before submission.
  • Prepare proposals, pre-proposals, and letters of collaboration.
  • Maintain current knowledge of electronic proposal submission processes (Cayuse, Grants.gov, NIH RPPR, Proposal Central).
  • Oversee the preparation and submission of forms, ensuring leadership review and compliance.
  • Lead input validation, system integrity, and reporting for the Research Evaluation System (EVAL) for P30 CCSG data capture.
  • Guide staff in preparing and processing routing forms using UIRIS and other electronic systems.
  • Answer questions and provide tutorials on grant application processes.
  • Meet with new faculty to review grant application processes and enhance grant preparation skills.
  • Post-Award Administration/Financial Responsibility: Oversee and manage externally and internally funded grants and contracts, including forecasting and interpreting guidelines.
  • Manage budgets for all grants, contracts, and programs; work with PIs to ensure required program reports are completed and submitted.
  • Assist in budget development, analysis, and recommendations.
  • Establish and manage fiscal management for research programs, contracts, services, and administrative support.
  • Establish fiscal controls, monitor budgets, and meet with PIs/directors to discuss expenditures and recommendations.
  • Advise faculty and staff on research support activities, including expenditure appropriateness, contract/grant requirements, and policy changes.
  • Continuously review, coordinate, and manage the financial status of grants and program activities, including annual progress reports, funding allocations, and re-budgeting.
  • Analyze, monitor, and report financial data and information.
  • Keep grants submitted and received.
  • Assist/participate in the annual budget process in coordination with the Director and Associate Director for Administration.
  • Monitor and advise on equipment procurements.
  • Meet monthly with PIs, project, and core leaders to review research projects and address financial issues.
  • Seed Grant Program Administration: Oversee HCCC Seed Grant Programs, including support, program announcements, evaluation, and awards.
  • Secure periodic updates and year-end reporting for each seed grant.
  • Facilitate the HCCC Research Review Committee.
  • Strategic Planning and Development: Develop and implement strategic planning to meet grants-related goals.
  • Provide necessary training and support based on new and/or changing guidelines.
  • Assemble, edit, and distribute program-related educational and promotional materials.
  • Participate in the coordination of site visits and HCCC retreats, including developing agendas and presentations.
  • Oversee all aspects of grant-related newsletters.
  • Participate as an ad-hoc member of the HCCC Research Executive Committee.
  • Assist the Director and Associate Director in preparing strategic planning documents.
  • Compliance: Assure compliance with contract/grant terms, University policies, and state/federal regulations.
  • Prepare reports to University Institutional Review Board (IRB-01) and for Animal Care and Use (ACURF).
  • Collaborate with staff to accrue data for studies, review and summarize information for investigators, and compose correspondence.
  • Communications and Reporting Functions: Review and submit Federal Grant Agency Personnel Effort Reports.
  • Direct non-competing report preparation and specialized reports requested by funding agencies or PIs.
  • Conduct special studies and prepare specialized reports for the HCCC.
  • Prepare materials for presentations, distribution, or publication.
  • Prepare correspondence and other presentations for the Director and Associate Director.
  • Work with the Division of Sponsored Programs to design and implement reports.
  • Serve as liaison for internal and external agencies including NIH/NCI, Iowa Department of Health and Human Services, American Cancer Society, collaborating institutions, University of Iowa Grant Accounting, Division of Sponsored Programs, faculty, staff, clinicians, and researchers for negotiation and management of research contracts and grants.
  • Supervision, Educational Training & Compliances: Serve as the administrative supervisor for assigned staff; hire, onboard, develop, and manage performance.
  • Ensure staff are compliant with UI policies and procedures.
  • Assist in orientation and education of new staff.
  • Develop training programs for new and existing staff.
  • Assist in educating staff regarding new processes and expectations, monitor adherence, and capture feedback.
