About The Position

The American Nurses Enterprise (ANE) is seeking to hire a Research and Quality Operations Administrator. The Research and Quality Operation Administrator provides professional administrative and operational support to the Institute for Credentialing Research and Quality Management team to ensure the successful implementation of programs and projects, under the direction of the Department Director. Requirements

  • Associate Degree or equivalent required.
  • 1-3 years of experience providing administrative/operational support in mission driven organization
  • Skill and ability to adapt to change and to be a self-starter
  • Excellent written communication skills.
  • Outstanding organization skills.
  • Excellent time and self-management skills
  • Flexibility in dealing with changing priorities and demanding workload.
  • High attention to detail
  • Experience in mission-driven non-profit organization
  • Strong Microsoft Office experience

Nice To Haves

  • Bachelor’s Degree preferred
  • Graphic design, website, and social media skills a plus
  • Experience with Ariba and NetSuite software a plus

Responsibilities

  • Develops and maintains calendars, provides phone coverage, and handles travel arrangements for the Team Members.
  • Receives screens, prioritizes, and delivers/forwards departmental mail, telephone calls, and other requests. Determines nature of request and handles independently or directs request to appropriate alternate contact.
  • Prepares itineraries, agendas, and advisory memos to assure logistical support for assigned areas of responsibility.
  • Orders supplies and equipment as needed to support the departments.
  • Create and maintain tracking documents for existing and planned programs, including timelines, next steps, and key deliverables.
  • Provides general assistance to the Team to support the implementation, execution, and evaluation of programs.
  • Tracks and maintains operational information in compliance with ISO standards.
  • Follows established policies and procedures for handling sensitive documents and confidential matters.
  • Processes invoices, prepare reports, letters, memoranda, and other assorted documents required to support the departments.
  • Communicates with partners and contractors on missing deliverables.
  • Supports ad-hoc Research and Quality projects as needed.
  • Supports the “Practicum Experience” Program on operational and legal aspects.
  • Meets with teams and develop policies and procedures for the department or in support of Enterprise research and quality needs, following instructions guidelines and templates.
  • Oversees all aspects of meeting planning, including scheduling, agenda dissemination, note taking and distribution together with meeting leads.
  • Supports team meetings following team leads directions.
  • Provides support in the creation and distribution of communications materials.
  • Drafts communications, reports and, presentation materials.
  • Edits and formats various written content and presentation.
  • Routinely reviews website and social media channels for opportunities to update content and ensure consistent messaging.
  • Interacts with customers, volunteers, and staff using professional, courteous interpersonal skills.
  • Presents courteous and professional appearance, demeanor, and attitude to all members of the ANA Enterprise staff, elected and appointed officials, vendors, guests, and all other contacts.
  • Monitors quality, effectiveness, and efficiency of all aspects of the Research & Quality Institute operations and identifies quality assurance opportunities for improvement.
  • Proactively evaluates requirements and needs to consistently improve operations activities.
  • Implements process and technology improvements.
  • Develops and revises tools, resources, and documents to support the application and review process.
  • Maintains a current knowledge base regarding the requirements for International Standards Organization (ISO) certification.
